About The Position

Indeed is seeking a highly organised, proactive, and resourceful Executive Assistant to support multiple senior leaders in a fast-paced, global environment. This person will help leaders stay focused, organised, and prepared by coordinating schedules, managing logistics, and supporting daily operations across varied business needs. This role supports 3 or more leaders, and support needs may vary across the group. One leader may travel several times per month, while another may need support for onsite meetings, offsites, and team events as budget allows. The Executive Assistant will help manage complex calendars, coordinate domestic and international travel, prepare presentations and meeting materials, and track follow-up actions while adapting to shifting priorities and different working styles. This person will also join a fully remote team of Executive Assistants across multiple levels and locations. Success in this role requires a collaborative approach, comfort sharing knowledge, openness to learning from others, and willingness to provide coverage for colleagues during PTO or other absences. The role also includes project coordination support and calls for solid Google Workspace skills to enable minimal onboarding for core tools.

Requirements

  • Requires a minimum of 7 years of related experience; or a minimum of 5 years with a Bachelor’s degree; or 3 years and a Master’s degree; or a PhD without experience.
  • Experience supporting senior leaders or executives in an administrative or executive assistant role, including managing multiple leaders in a fast-paced environment.
  • Highly organized with close attention to detail and the ability to manage changing priorities with sound judgment.
  • Excellent verbal and written communication skills, with a high level of discretion and professionalism when handling sensitive information.
  • Experience with calendar management, travel coordination, meeting support, and event planning.
  • Proficiency with Google Workspace and comfort collaborating across remote teams in a fast-paced environment.
  • Adaptable with a growth mindset and a collaborative approach to supporting evolving business needs.

Responsibilities

  • Support multiple senior leaders with scheduling, travel, meetings, and daily operations.
  • Manage complex calendars and resolve scheduling changes as priorities shift.
  • Coordinate meetings, agendas, materials, and follow-up actions.
  • Arrange domestic and international travel and related logistics.
  • Support onsite meetings, offsites, events, and team activities.
  • Prepare presentations, briefing materials, and other documents.
  • Provide project coordination support, track action items, and deliverables.
