About The Position

This position provides high-level administrative support to the Chief Executive Officer and Executive Leadership Team, ensuring the efficient coordination of executive priorities, communications, meetings, travel, and daily operations. This role serves as a trusted partner to senior leaders by anticipating needs, managing competing priorities, and handling sensitive information with professionalism and discretion. The ideal candidate is highly organized, resourceful, and proactive, with the ability to work independently, adapt to changing priorities, and deliver exceptional support in a fast-paced environment. Exceptional attention to detail, sound judgment, and strong communication skills are essential to success in this role.

Requirements

  • Associate’s degree or equivalent experience.
  • 5+ years of progressive experience providing executive administrative support to senior leaders.
  • Demonstrated experience managing complex calendars, coordinating travel, and supporting executive meetings and events.
  • Proficiency with Microsoft Office (Outlook, PowerPoint, Excel, Word).

  • Bachelor’s degree in Business, Communications, English, or related field.
  • Experience coordinating corporate events, leadership meetings, or executive-level conferences.

Responsibilities

  • Manage complex executive calendars, scheduling, and prioritization of meetings, and other commitments to maximize leadership effectiveness.
  • Coordinate domestic and international travel arrangements, itineraries, and logistics, and prepare and submit executive expense reports in a timely manner.
  • Prepare, edit, and distribute executive correspondence, presentations, reports, and other business communications with a high degree of accuracy and professionalism.
  • Coordinate internal and external executive meetings by managing agendas, materials, logistics, and follow-up actions as needed.
  • Conduct research, compile data, and support special projects by preparing analyses, presentations, and other materials for executive leadership.
  • Handle highly confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Maintain corporate records, organizational documents, and executive files to ensure information is accurate, organized, and accessible.
  • Invoice processing and other administrative activities.
  • Other duties as assigned.
