An exciting technology company in San Francisco is looking for a highly organized and proactive Executive Assistant to support a senior executive and become an integral part of their day-to-day operations. Requirements

  • 3+ years of Executive Assistant or high-level administrative support experience, ideally within technology or another fast-paced environment
  • Highly organized with exceptional attention to detail
  • Comfortable managing a high-volume calendar and shifting priorities
  • Strong written and verbal communication skills
  • Proactive and naturally inclined to follow through on details
  • Able to prioritize competing requests and execute efficiently
  • Resourceful, dependable, and comfortable working with minimal hand-holding
  • Professional and confident interacting with senior executives and external stakeholders
  • Thrives in an onsite, collaborative, and fast-moving environment
  • Tech-savvy and comfortable learning new systems and tools quickly

Responsibilities

  • Manage a busy and frequently changing executive calendar, including meetings, appointments, and scheduling priorities
  • Coordinate internal and external meetings across multiple stakeholders and time zones
  • Handle day-to-day email and communication support, ensuring important requests and follow-ups are addressed
  • Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
  • Prepare executives for meetings by organizing materials, agendas, and relevant information
  • Track action items, deadlines, and follow-ups to keep priorities moving forward
  • Process expenses and maintain accurate records and documentation
  • Coordinate team meetings, events, dinners, and occasional offsites
  • Serve as a reliable point of contact for internal teams and external partners
  • Assist with administrative projects and ad hoc requests as they arise
  • Anticipate scheduling conflicts and logistical needs before they become issues
  • Maintain a high level of discretion when handling confidential and sensitive information
