About The Position

As the Executive Assistant to the Chief Sales & Marketing Officer (CSMO), you will act as a trusted partner, providing dedicated executive support ranging from routine to complex matters and ensure smooth operation of the CSMO’s office. This is a 12-month contract position. You will be based in our Toronto office and will work in a Hybrid model (3 days on-site). You will report to the Chief Sales & Marketing Officer. The expected base salary range for this role is $72,000-$85,000. Total compensation may also include variable or discretionary incentive components, including but not limited to bonuses and commissions. Individual job offers are determined by various factors, including experience, education, skills, certifications, and other business needs.

Requirements

  • College or university degree in Administration.
  • 5+ years of experience as an Executive Assistant supporting C-Level Executives.
  • Proficient with Microsoft Office applications (PowerPoint, Word, Excel and Outlook).
  • Strong business acumen and understanding of executive priorities
  • Strong written communication and presentation development skills.
  • Exceptional judgment and discretion.
  • Strong interpersonal skills and the ability to interact with all levels of the organization, internal clients and third party providers.
  • Excellent organizational and time management skills with the ability to multitask.
  • Ability to manage competing priorities in a fast-paced environment.

Nice To Haves

  • Experience using Microsoft 365 Copilot, generative AI tools, or similar productivity technologies to improve efficiency and workflow effectiveness is considered an asset.
  • Previous experience in the payment industry considered an asset.
  • Experience as an Executive Assistant supporting Sales/Marketing teams would be considered an asset.
  • Bilingual in English and French.

Responsibilities

  • Provide dedicated executive support to the CSMO, including management of priorities, proactive calendar-ownership, correspondence, stakeholder management, meeting preparation and confidential communications.
  • Act as a trusted partner by anticipating needs, identifying scheduling conflicts, protecting executive capacity and ensuring alignment and follow-through against business priorities.
  • Schedule complex activities such as shareholder bank, client, vendor and internal meetings, conferences and travel arrangement for CSMO and VP Marketing.
  • Maintain the CSMO and VP Marketing’s calendar; coordinate meetings, arrange for meeting setup, attend key leadership and department meetings as required to capture actions, decisions and follow-up items.
  • Work with EAs of the Moneris executives, Board members, suppliers, customers and similar stakeholders to schedule meetings.
  • Manage executive communications and stakeholder inquiries - create, develop, amend, and proofread presentations and documentation requiring different computer software applications, including PowerPoint, Excel, Word.
  • Support Sales & Marketing events, conferences, recognition programs and leadership meetings as required to support internal groups and vendors to set up town halls and team meetings for CSMO and MarCom.
  • Leverage Microsoft Copilot and other approved AI tools to improve productivity, support meeting preparation, summarize information, draft communications, create presentations, and streamline administrative processes.
  • Serve as a key operational partner to the VP of Marketing and MarCom team, including maintaining distribution lists, booking meeting rooms, coordinating team meetings and external meetings.
  • Serve as the primary point of contact for team inquiries, providing timely guidance, support, and issue resolution for the MarCom team.
  • Prepare and submit expense reports, invoices for payment, and manage accruals to ensure accurate financial reporting and timely month-end close activities for CSMO and MarCom team.
