About The Position

This full-time position at Downtown Health Clinic in Saint Joseph, MO, involves supporting Northwest Health Services (NHS) providers and personnel. The role requires working cooperatively to achieve NHS goals and objectives, treating everyone with respect, and maintaining a professional demeanor. Key responsibilities include organizing the administration office, acting as a contact for NHS by screening communications, managing calendars for the CEO and Senior Leaders, scheduling appointments and meetings, conducting research, maintaining documents and files, preparing presentations, and assisting with other administrative duties as directed. The position also involves maintaining meeting records, attending meetings, and complying with HIPAA regulations.

Requirements

  • Must be able to talk, see, hear, react, stand, kneel, walk and lift up to 50 lbs.
  • Possess cognitive skills necessary to read and interpret a variety of instructions furnished in oral or written form.
  • Possess the intuitive skills necessary to identify and act on implied tasks in accordance with the intent of NHS leaders.
  • Internet research abilities and strong communication skills are required.
  • Must possess exceptional organizational, communication (including verbal and written) and human relations skills.
  • Must possess ability to effectively present information and respond to questions from patients, and other individuals encountered in the course of employment.
  • Must demonstrate tact patience and good communication skills.
  • Must respect and maintain patient confidentiality at all times.
  • Maintain professional appearance and demeanor at all times.
  • Possess high school diploma or equivalent.
  • Knowledge of correspondence procedures inherent to the position of an Administrative Assistant.
  • Possess ability to perform typing duties of above average to complex difficulty. Must demonstrate accuracy, proficiency, and efficiency.
  • Computer experience to include Windows operations, Excel, PowerPoint, and Word.
  • Possess light bookkeeping skills.
  • Must possess and maintain a valid Drivers License, and proof of insurance for personal vehicle used for business.

Nice To Haves

  • Associate degree in a Business related field or three years relevant experience preferred.

Responsibilities

  • Work cooperatively with Northwest Health Services (NHS) providers and personnel to carry out the goals and objectives of NHS, according to governing body requirements and established internal policies and procedures.
  • Treat others respectfully whether it is a patient, fellow employee, member of management, customer, vendor or visitor to our premises.
  • Assist with organizing Northwest Health Services administration office.
  • Acts as a contact for NHS by screening phone calls, emails, and monitors the Cheif Excutive Officer (CEO) and other Senior Leaders calendars.
  • Schedules appointments, arranges meeting locations, determining who should attend and notifying them of meetings and schedules of presentation.
  • Provides research of data/records from files on hand and/or from various other sources.
  • Assist with maintaining the administration documents and files.
  • Assist with preparing presentations and documents as needed.
  • Assist with other administrative duties for all NHS leaders and administration staff as directed by the CEO.
  • Maintain meeting records as directed.
  • Attend meetings as requested.
  • Must comply with the provisions of the Health Insurance Portability and Accountability Act (HIPAA) of 1996.
  • Perform other duties as required and appropriate.
