About The Position

This role provides administrative support to executives, including scheduling, travel arrangements, correspondence, record keeping, and assisting with special projects. The Executive Assistant will also support the Project Management Office and Board Committees, ensuring all activities comply with Atec International Standards Organization (AS9100/ISO) policies. This position requires a high level of organization, attention to detail, and the ability to manage multiple tasks effectively in a professional environment.

Requirements

  • Bachelor’s degree from a four-year college or university; or five (5) or more years related experience and/or training; or a combination of education and experience.
  • Familiarity with and understanding of Atec Quality Policy and company objectives.
  • Understanding of required AS9100/ISO specific Procedures and Work Instructions.
  • Ability to complete all records required by Procedures and Work Instructions.
  • Willingness to participate in Atec Continuous Improvement activities.
  • Willingness to participate in AS9100/ISO training as required.
  • Cooperation with Auditors.
  • Ability to report any deviations to the appropriate area manager/supervisor.

Responsibilities

  • Schedule appointments, provide information to callers, coordinate travel, and assist executives with special projects.
  • Read and route incoming mail.
  • Compose, type, and review executive correspondence.
  • File correspondence and maintain electronic records.
  • Plan events.
  • Oversee and arrange travel schedule and reservations, in accordance with Atec policy and procedures.
  • Record minutes of staff meetings.
  • Create and update Atec forms.
  • Provide Atec-wide support for writing projects and special projects.
  • Manage meeting spaces and hospitality for meetings and Atec guests.
  • Attend meetings and special events for the Executive Team.
  • Provide assistance to the Project Management Office (PMO).
  • Provide assistance to Board Committees.
  • Perform other related duties as assigned to ensure an efficient and effective work environment.
  • Ensure activities are conducted in accordance with Atec International Standards Organization (AS9100/ISO) policies and correct and report any deviations to the appropriate area manager/supervisor.
  • Monitor personnel to ensure activities are conducted in accordance with Atec AS9100/ISO policies, and correct and report any deviations to the appropriate area manager/supervisor.
  • Be familiar with and understand Atec Quality Policy and company objectives.
  • Understand required AS9100/ISO specific Procedures and Work Instructions.
  • Complete all records required by Procedures and Work Instructions.
  • Participate in Atec Continuous Improvement activities as appropriate (including Strategic Planning, AIM, Suggestion box, etc.).
  • Participate in AS9100/ISO training as required.
  • Cooperate with Auditors.
  • Report any deviations to the appropriate area manager/supervisor.
