About The Position

This role serves as an executive assistant for the CEO and Executive Management Team. The Executive Assistant will be responsible for providing comprehensive administrative support to the CEO and Executive Management Team, managing the CEO's calendar, coordinating meetings and travel arrangements, and facilitating various executive and all-employee meetings. This position will also manage monthly executive reports, financial reviews, scorecards, and other key performance indicators. The role involves improving CEO efficiency through managing correspondence, drafting communications, and analyzing information. Additionally, the Executive Assistant will lead continuous improvement projects, publish the company newsletter, oversee the corporate Giving Back committee and the Chaplaincy program, and coordinate site family events. This role requires business travel of 2-3 days per quarter on average.

Requirements

  • Bachelor Degree in a related field and five years of relevant work experience, or equivalent combination.

Responsibilities

  • Provide administrative support to the CEO and Executive Management Team.
  • Manage the CEO’s calendar, including scheduling and coordinating meetings and travel arrangements.
  • Facilitate Board, EMT, leadership, management, and all-employee meetings, including preparation of resources, agenda definition, documentation compilation, and issue tracking/follow-up.
  • Manage monthly executive reports, financial reviews, scorecards, and other key performance indicators.
  • Improve CEO efficiency by managing correspondence, drafting documents, collecting and analyzing information, and initiating telecommunications.
  • Lead continuous improvement and/or new process development projects as assigned by the Executive Management Team.
  • Publish the Metal Edge (company newsletter) 3-4 times per year.
  • Oversee the corporate Giving Back committee, including budget management, community outreach strategy development, project and expense validation, internal/external communication, and performance metric tracking.
  • Oversee the Chaplaincy program, including implementation into new sites and monitoring program effectiveness.
  • Interface with Corporate Chaplains of America on necessary issues.
  • Execute strategies to promote a positive work environment and maintain high morale.
  • Coordinate site family events such as Christmas parties and family picnics.
