About The Position

Location: Carmel, IN; Hybrid (2 days/ week in office) Raising the Standard At Trinitas Ventures, execution is a competitive advantage. This is not a traditional administrative role. It is a high-performance position designed to protect CEO time, structure executive workflows, and ensure strategic priorities move forward with clarity and discipline. The Executive Assistant plays a central role in bringing order, clarity, and stability to the CEO’s workflow and the broader executive rhythm. In this role, you will: Proactively architect and protect CEO time around strategic priorities Elevate executive meeting discipline with clear agendas, decisions, and ownership Drive closed-loop follow-up across senior leadership Support investor and board preparation with professional polish Translate complexity into structured summaries and actionable plans Maintain an organized, professional office environment that supports focused execution When successful, the CEO experiences reduced cognitive load, tighter meetings, seamless investor coordination, and stronger execution discipline across the organization. Requirements

  • 5+ years supporting a CEO, Founder, or senior executive in a fast-paced environment
  • Experience preparing board, investor, or executive-level materials
  • Demonstrated ability to manage complex calendars and competing priorities
  • Strong writing and synthesis skills with executive-level polish
  • Experience coordinating high-visibility meetings, travel, and events

Responsibilities

  • Architect and manage the CEO’s calendar to align with strategic priorities, preparation windows, and travel.
  • Prepare and support executive and investor meetings, including agenda development, material consolidation, decision capture, and follow-up tracking.
  • Maintain priority trackers and drive disciplined execution across leadership commitments.
  • Draft executive-ready communications, summaries, briefing documents, and presentation materials.
  • Provide high-level support to senior executives as needed to reinforce alignment and execution discipline.
  • Support Trinitas corporate marketing and reputation management in coordination with the CEO and head of marketing.
  • Support Trinitas Intelligence coordination efforts.
  • Oversee general office operations, including supply management, vendor coordination, and workspace organization.
  • Maintain organized and secure records with discretion.
  • Perform other related duties as assigned.
