About The Position

Executive Assistant provides high-level administrative support for company leaders to ensure they can efficiently accomplish key tasks and company initiatives. Executive Assistant keeps the executive’s communications organized so that they can easily access the most important information without having to sort through low-priority items. Executive Assistants screen all visitors and determine what level of support they need while offering polite, professional customer service. They manage the executive’s daily calendar, including scheduling meetings, confirming appointments, writing itineraries and arranging for transportation. Executive Assistants also train other administrative staff on company policies and best practices. An executive assistant within Valley Health System Corporate offices reports directly into the executive/s with a dotted line into the Director, Office of the CEO and Governance for orientation/onboarding, office coordination, and procedural matters.

Requirements

  • High School Diploma required
  • Minimum 3 - 5 years of experience supporting administration at the executive level required
  • Knowledge of administrative services
  • Strong organizational and interpersonal skills
  • Ability to determine appropriate course of action in more complex situations
  • Ability to work independently, exercise creativity, attentive to detail, and maintain a positive attitude
  • Ability to manage multiple and simultaneous responsibilities and to prioritize scheduling of work
  • Ability to maintain confidentiality of all medical, financial, and other information
  • Ability to complete work assignments accurately and in a timely manner
  • Ability to communicate effectively, both orally and in writing
  • Ability to handle difficult situations involving customers, physicians, or others in a professional manner
  • Demonstrated experience working with multiple technology systems including document management systems, Microsoft products (e.g., Excel, PowerPoint) video conferencing system, etc.
