About The Position

Requirements

  • 4+ years’ experience in administrative environment.
  • A minimum of 2 years of experience supporting a principal who was at the director level or above.
  • Expert level knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint.
  • Experience in calendar management, planning meetings and coordinating travel.
  • Excellent verbal and written communication skills including the ability to connect with all levels of Executive/Senior staff and clients.
  • High-energy with a passion for thinking bigger and broader than the role itself.
  • Strong interpersonal skills, independent judgment, utmost integrity and ability to balance both strategic and tactical actions.
  • Outstanding attention to detail and the ability to handle confidential information.
  • Enjoy a collaborative environment, committed to improvement, solve problems and make decisions.
  • Ability to work PST hours.
  • Must be able to be onsite as needed in San Francisco.

Nice To Haves

  • Past work experience in the high-tech industry is desired.

Responsibilities

  • Handle VP's calendar by prioritizing schedules and meetings, potentially deciding who gets on the principal’s calendar, which meetings are attended, and who can attend in their place.
  • Coordinate event speaking engagements by maintaining a list of VP’s engagements and working with the communications team to ensure content needs are understood and met.
  • Assist VP in planning and organizing meetings, including assembling agendas, selecting locations, managing meeting technology, and handling all other meeting logistics.
  • Prepare meeting briefing documents, take and disseminate notes, and formulate post-meeting action item lists.
  • Build travel packs for international trips and large domestic events, combining event information, travel logistics, and customer/team asks.
  • Act as a proxy for communications and approvals as authorized by the VP, answering general questions and referring routine matters to appropriate parties.
  • Take initiative to resolve issues within specified policies and guidelines, and mentor administrative community members on problem-solving.
  • Determine when executive action is required and supply recommendations where appropriate.
  • Make in-depth global travel arrangements for the VP, optimizing travel and itineraries while handling Cisco expenses.
  • Work with airlines directly to accommodate Global Services benefits for upgrades whenever available.
  • Provide analytical support to executives on special projects, including researching issues, analyzing problems, compiling data, and preparing reports.
  • Prepare and brief itineraries for large Corporate Events such as GSX, and accompany the VP for executive support.
  • Handle sensitive and confidential matters and materials professionally.
