Executive Assistant - Treasury

About The Position

The Executive Assistant plays a meaningful role on the Treasury team, providing dedicated support to executives as well as providing support for their team members and function as a whole. You will have exposure to senior levels of the organization, partnering with other Executive Assistants and external stakeholders will be part of the day-to-day responsibilities.

Requirements

  • HS Diploma required; Associates' degree or professional certification preferred
  • 3+ years of experience at Executive Assistant or comparable level
  • Excellent written, verbal and interpersonal communication skills and ability to interact with senior leadership internally and externally
  • Excellent organization and project management skills; Identify new solutions to complex problems.
  • Understand available resources and deliver on short notice.
  • Experience working with Global teams and internal/external business partners
  • Can-do attitude, take charge mentality, demonstrate flexibility and tenacity to overcome ambiguous situations.
  • Able to maintain information in a confidential manner.
  • Outlook calendar management/scheduling skills
  • Experience using Concur for travel and expense report preparation, submission and reconciliation.
  • Highly proficient in invoice/PO processing
  • Strong knowledge of Teams and other video conferencing tools.

Responsibilities

  • Coordinate/manage schedules for corporate leaders.
  • Build/prepare correspondence and complex PowerPoint presentations.
  • Develop database/spreadsheets.
  • Coordinate global and domestic travel arrangements, including air, ground transportation, hotels, visas/passports, and meeting coordination
  • Prepare expense reports; manage department purchase orders.
  • Apply and implement internal policies and provide training as needed.
  • Support Treasury, Accounting and Internal Audit department.
  • Treasury tasks will include recording and depositing checks received via mail, and distributing relevant information to tax and accounting teams.
  • PowerPoint skills to create/update/modify presentations.
  • Support departmental projects and projects manage/event coordinate departmental meetings and events which could include both in-person or virtual or mixed events.
  • Provide support and expertise on MS Office Suite (Word, Excel, PowerPoint and Outlook)
  • Learns and adopts new technology and adapts to shifts in business strategy.
  • Leadership role providing administrative support/management of internal and external events as requested.
  • Clear, collaborative communications with executive administrative staff.
