About The Position

The Department of Marketing and Communications is a strategic partner to CMU’s academic and administrative units. We offer solutions for the university’s marketing and communication needs and advance the university’s internal and external relationships through brand building, story telling and content creation. The Executive Assistant to the Vice President for Marketing and Communications has the following processes that are owned and those to which they will contribute: Core Process Owned: Personal Assistant to Vice President Department Administrative Support Interdepartmental Liaison Office Management Calendar and Scheduling Management Core Processes Contributor: Project Management and Special Project Assignments Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Requirements

  • Bachelor’s degree from an accredited college or university
  • Experience in an administrative or executive assistant role
  • Demonstrated experience handling confidential information with the utmost discretion and professionalism
  • Proven ability to multi- task with critical deadlines with minimal or no direction
  • Ability to interact professionally with faculty, staff, students, and external stakeholders
  • Advanced knowledge of office software
  • Ability to read, analyze and interpret general written materials, professional journals, technical procedures, or government regulations.
  • Ability to write reports and prepare and conduct verbal and visual presentation of materials.
  • Ability to effectively present information and respond to questions from top management, public groups, and board of directors.
  • Strategic and analytical reasoning skills are necessary.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
  • Strong communication skills to work effectively with team members withing and outside the department.
  • Ability to analyze processes and systems and determine steps for continuous improvement in how the department performs its administrative functions
  • Regularly demonstrating emotional intelligence to facilitate good relationships and a positive working environment
  • Ability to learn and proficiently use department-specific and institutional software applications for administrative functions
  • Take a leadership role in creating an office environment that is warm, responsive and accountable to other campus stakeholders
  • Exceptional ability to manage multiple tasks, prioritize effectively, and meet deadlines
  • Flexible and able to adjust to changing priorities and demands
  • Capability to anticipate needs, resolve issues proactively, and make decisions
