Responsible for ensuring the smooth and efficient operation of the Superintendent’s Office, providing project management and administrative support to the Superintendent and School Board and performing as the Designated Election Official for School Board elections.

Responsibilities

  • Serve as the assistant to the Superintendent including scheduling appointments, keeping his/her calendar updated, maintaining correspondence as instructed and assisting with planning and organizing District activities and events.
  • Serve as the assistant to the Board of Education including recording minutes of all meetings and work sessions; preparing, copying and mailing agendas, minutes and attachments for Board meeting agenda packets; contacting Board members regarding meeting cancellations, special meetings and work sessions; and arrangements for Board meetings.
  • Participate in and attend Cabinet including preparing agendas, notifying members of scheduled and cancelled meetings, taking notes and minutes if required, making arrangements for team retreats and serving as main communicator for administrators regarding A-Team meetings.
  • Perform duties related to the District Accountability Committee (DAC) such as scheduling and fulfilling meeting arrangements; researching state law and Committee bylaw compliance issues and advising Superintendent and Chair; generating and distributing agendas, minutes and supporting documents; coordinating with the Committee regarding approval of DAAC membership, monthly DAAC reports to the Board and formal submission of budget recommendations for inclusion in School Board packets; managing the process for annual school climate surveys including requesting input, arranging for compilation of results, compiling narrative report and communicating results to stakeholders; providing clerical support for the Annual Report to the Community; maintaining accreditation records, generating accreditation documents as directed and organizing the submittal of accreditation certification for Board approval; and managing the budget for DAC.
  • Manage School Board Policies by making contact with Colorado Association of School Boards regarding sample policies; contacting the District's legal counsel when necessary regarding laws pertaining to specific policies, procedures and state laws; preparing policy books and general information for all new administrators and Board members; drafting Board policy revisions and new policies as instructed by the Superintendent and Board; and maintaining a current copy of the District policies online.
  • Assist with expulsion hearings by scheduling, recording and keeping minutes of hearings; maintaining expulsion records; creating follow-up correspondence to parents; and creating written reports to Superintendent and Board as needed on expulsion hearings.
  • Perform purchasing and budget related duties such as tracking expenses within the Superintendent, Board of Education; printing out reports as needed; and making travel and conference/workshop arrangements for Superintendent and Board members including issuing purchase orders and check requests for payment.
  • Act as the designated election official during all District elections including candidate elections, District Mill Levies and bond issues.
  • Work with Summit County Clerk's office to organize elections.
  • Distribute candidate petitions and information regarding election to prospective candidates.
  • Check the accuracy of petitions at the County Clerk's Office.
  • Maintain a strict schedule for election as required by State law.
  • Perform Student Services duties such as maintaining home school records and homebound student records; generating correspondence with parents; maintaining records of inter-district and out-of-district enrollments, including assisting parents with forms and processing; maintaining a current tutor list; tracking that all tutors have been fingerprinted; and providing tutor information to counselors, parents, and teachers, etc.
