About The Position

The Confidential Secretary to the Assistant Superintendent provides high-level administrative and clerical support, ensuring the efficient operation of the Office of the Assistant Superintendent. This position requires the exercise of discretion, confidentiality, and independent judgment in handling sensitive information, personnel matters, and district initiatives.

Requirements

  • High school diploma required; associate’s or bachelor’s degree in business administration or related field preferred
  • Prior experience in an administrative or secretarial role, preferably in an educational setting
  • Demonstrated ability to maintain strict confidentiality and handle sensitive information
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in office technology, including Microsoft Office Suite, Google Workspace, and student information systems
  • Ability to work independently and collaboratively in a fast-paced environment
  • Strong attention to detail and accuracy
  • Knowledge of school district operations, policies, and procedures preferred

Responsibilities

  • Provide confidential administrative support to the Assistant Superintendent
  • Manage and maintain the Assistant Superintendent’s calendar, appointments, and scheduling of meetings
  • Prepare correspondence, reports, presentations, and other documents as directed
  • Handle sensitive personnel, student, and district information with a high level of confidentiality
  • Serve as a liaison between the Assistant Superintendent and district staff, administrators, Board members, and the public
  • Coordinate meetings, including preparing agendas, materials, and taking minutes as needed
  • Assist with the preparation and organization of Board meeting materials and committee reports
  • Maintain accurate records, files, and documentation in compliance with district policies and state/federal regulations
  • Support district initiatives, projects, and compliance requirements as assigned
  • Respond to inquiries and provide information in a professional and timely manner
  • Monitor and order office supplies and maintain efficient office operations
  • Assist with data collection, analysis, and reporting as needed
  • Perform other duties as assigned by the Assistant Superintendent
