George Fox University's Academic Affairs Office is seeking a detail-oriented and hospitable communicator to serve as our Executive Assistant to the Provost. This role is best suited for a person who is skilled at anticipating needs, tenacious about details, masterful at navigating a steady stream of tasks that vary in both urgency and complexity, and also given to hospitality. Requirements

  • Extensive experience providing executive-level support to a C-suite executive, vice president, or senior academic administrator, preferably within a higher education environment.
  • A proven track record of handling highly confidential personnel records, legal compliance matters, or board-level documentation with exceptional discretion.
  • The ability to independently assess competing priorities, exercise sound judgment, and effectively manage multiple high-priority responsibilities in a fast-paced environment.
  • Exceptional written communication skills, including the ability to write in an executive leader's voice, along with proficiency in Google Workspace, Google Groups, and Concur.
  • Legal authorization to work in the United States.

Nice To Haves

  • This role focuses on executive-level strategy, governance, faculty affairs administration, and institutional leadership support; it explicitly excludes physical office management or hospitality responsibilities for the Academic Affairs Office suite.
  • It does not perform front-end administrative logistics for the faculty peer review process, including folder creation, document collection, or review packet formatting.
  • It does not complete routine PeopleSoft data entry for course or instructor tables.

Responsibilities

  • Managing the Provost's calendar and executive inbox by independently prioritizing requests against university strategic priorities.
  • Preparing briefing materials for cabinet-level meetings, drafting sensitive communications in the Provost's distinctive voice, and managing complex travel and expense reporting through Concur.
  • Reviewing and routing divisional approval requests, handling routine matters independently, and escalating strategic exceptions as appropriate.
  • Managing the confidential Provost- and Board-facing stages of the faculty peer review lifecycle.
  • Tracking faculty eligibility, updating decision materials, coordinating with review committees, and securely delivering final advancement materials to the President and Board.
  • Authoring and managing highly confidential personnel correspondence, including grievances and disciplinary actions.
  • Serving as the primary administrative contact and recorder for key governance bodies, including the Academic Committee of the Board of Trustees (ACBOT) and the Administrative Leadership Team (ALT).
  • Managing governance communication channels through Google Groups and coordinating and training divisional Executive Assistants across the university.
  • Leading the Commencement Committee and managing faculty experience logistics for Commencement.
  • Directing the "Meet Your Major" welcome event in collaboration with divisional Executive Assistants.
  • Supporting the Provost's speaking engagements by preparing presentation slides, briefing binders, and run-of-show materials.
  • Managing the administration of Academic Honesty cases and Grade Appeals.
  • Reviewing and issuing official mid-semester grade reminders and Provost-signed faculty alerts.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrated experience working cross-culturally with respect, appreciation and humility.
  • Other duties as assigned.
