About The Position

The Executive Office is formed of the President and CEO, four Managing Directors, the Chief Administrative Officer, and the General Counsel and key staff. These individuals work with leaders in government, business, and the nonprofit community to forge alliances that further the Institute's work. They also collaborate with media to spread WRI's messages. Additionally, they work internally with staff across the WRI network on the development and resourcing of programmatic work. This role will report to the Global Coordination Manager and indirectly to the Managing Director for Strategy, Learning & Results. The Executive Assistant will support the effective execution of the Managing Director's responsibilities and priorities, helping to meet the demands of a high-volume global organization with a set of programmatic initiatives. The role requires outstanding organization, communication, and interpersonal skills, and the candidate must be responsive, proactive, self-motivated, and detail-oriented, demonstrating strong problem-solving and time management skills with a high degree of flexibility. The ability to handle a high influx of information, prioritize, manage up, and collaborate across multiple teams is essential. The role involves daily engagement with WRI's global staff and high-level officials, providing insight into WRI's portfolio of work, and working within a team of Executive Office staff and WRI's senior leadership.

Requirements

  • 3+ years full-time relevant work experience in an administrative or executive assistant role, including scheduling, travel management and inbox management.
  • Advanced proficiency working with Microsoft Office (Word, Excel, Access, PowerPoint).
  • Proficiency or interest in using AI as a productivity tool.
  • Ability to manage simultaneous tasks.
  • Ability to navigate complex networks and think structurally.
  • Ability to execute independent judgment and follow through on work to ensure completion.
  • An interest in strategic development processes.
  • Ability to maintain diplomacy, confidentiality, and cultural sensitivity when working with leadership and external stakeholders.
  • Existing work authorization is required where this position is based.
  • Fluency in English.

  • Fluency in any of WRI's other languages (Mandarin, Bahasa, Hindi, French, Spanish, Portuguese) is a bonus.

Responsibilities

  • Plan, coordinate, and schedule the Managing Director's business calendar across multiple time zones.
  • Update the Managing Director to cover urgent incoming requests.
  • Support the preparation, checking, and editing of correspondence and documents, including the creation of slide decks and presentation materials for senior leadership and external audiences.
  • Organize and prepare for business travel, including bookings, pre-travel paperwork, creating detailed itineraries, and processing expense claims.
  • Maintain an electronic filing system, including recording official correspondence, maintaining a business contacts database, and task tracking.
  • Manage a fast-flowing email inbox, bringing urgent issues and those requiring action to their attention.
  • Support in preparation and monitoring of budgets and advise the Managing Director when relevant.
  • Help with special projects such as quarterly strategic reviews and other elements of the strategy cycle, including data gathering, record keeping, convening team members, and preparing communications.
