ABOUT PARK BOARD OF TRUSTEES AND VISIT GALVESTON In 1963, the citizens of Galveston voted to create a specialized unit of government known as the Park Board of Trustees of the City of Galveston. The organization is responsible for overseeing Galveston's tourism efforts, Galveston Island Beach Patrol (GIPB), and Coastal Zone Management (CZM). The Park Board is funded primarily through Hotel Occupancy Tax (HOT) revenue and beach user fees collected from the parks it manages. Tourism pays for tourism, as the Park Board does not collect sales or property taxes. The nine-member Board is comprised of volunteer residents with diverse professional and business backgrounds who each serve a minimum two-year term and participate on advisory committees. Our mission is to promote and support tourism on Galveston Island while fostering an environment that creates a great place to live, work, and visit. Requirements

  • Minimum of five years of progressively responsible experience in administrative support, executive support, or office management, preferably within a public sector or government environment.
  • Ability to independently prioritize and manage multiple assignments, deadlines, and competing priorities in a fast-paced environment.
  • Strong organizational and time management skills with exceptional attention to detail and accuracy
  • Excellent written and verbal communication skills with the ability to interact professionally with employees, leadership, and external stakeholders.
  • Ability to exercise sound judgment, discretion, and confidentiality when handling sensitive information and executive matters.
  • Strong problem-solving and critical-thinking abilities with the capability to work independently and proactively with minimal supervision.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to quickly learn and adapt to new systems, processes, technology, and operational procedures.
  • Strong customer service, interpersonal communication, and relationship-building skills

Nice To Haves

  • Experience directly supporting a CEO, Executive Director, C-Suite executive, or senior leadership team, preferably within a public sector or government environment.
  • Associate degree or specialty certification in business administration, office administration, communications, or a related field preferred.
  • Experience coordinating executive calendars, meetings, travel arrangements, and professional communications in a fast-paced environment.
  • Experience with budget tracking, invoice processing, purchasing procedures, expense reporting, and administrative financial support function

Responsibilities

  • Serve as a trusted administrative and operational support partner to the Chief Executive Officer in a fast-paced, high-accountability environment.
  • Utilize strong organizational, communication, and problem-solving skills to manage complex calendars, schedules, meetings, travel arrangements, and executive priorities while ensuring timely follow-through.
  • Handle incoming calls, emails, correspondence, requests, and visitors with a high level of professionalism, discretion, and confidentiality.
  • Prepare and maintain executive-level correspondence, reports, presentations, agendas, spreadsheets, and other business documents with exceptional attention to detail and accuracy.
  • Coordinate office operations, vendor communications, supply management, purchasing functions, invoice processing, and administrative records maintenance to support daily organizational operations.
  • Independently manage multiple competing priorities while adapting to changing operational needs in a dynamic executive environment.
  • Foster a professional, organized, and welcoming atmosphere while providing exceptional customer service and support to internal and external stakeholders.
