About The Position

This is a brand-new role where the candidate has the opportunity to shape it from the ground up. The primary job of this role is to clear the morning for the CEO, allowing for focused work and preventing evening compensation. This is not a traditional support role; it requires genuine judgment, autonomy, and confidence in managing calendar and inbox decisions. The organization, Endless Access, is a nonprofit empowering the next generation of digital creators through a global game-making community and innovative tools. The team comprises 35-40 people across 13 countries, working virtually through predominantly remote and async means.

Requirements

  • Proven experience supporting a CEO, founder, or director-level leader in an EA or senior PA capacity.
  • Demonstrable experience working remotely and managing autonomously without in-person oversight.
  • Strong diary management skills, including high-volume coordination across time zones.
  • Confident gatekeeper - able to prioritise and protect an executive's time, challenge incoming requests, and exercise judgement without escalating every decision.
  • Highly organised with exceptional follow-through and attention to detail.
  • Excellent written communication skills, including the ability to draft correspondence that accurately represents the executive's voice and tone.
  • Discreet and professional, with experience handling commercially and personally sensitive information.
  • Comfortable working with a tech-forward leader and a remote-first, tools-heavy environment.
  • Proficient with AI tools for drafting, research synthesis and document preparation.

Nice To Haves

  • Experience supporting senior leaders in a not-for-profit, mission-led or tech organisation.
  • Familiarity with governance contexts - board engagement, philanthropic funders, or senior external partners.
  • Experience building or designing an EA function from the ground up.
  • Cambridge-based or able to attend in person approximately once per week.

Responsibilities

  • Triage the CEO's inbox daily, flagging items that require attention and handling or drafting responses to routine correspondence within agreed parameters.
  • Manage high-volume communication across email and Slack, maintaining a clear and organised inbox.
  • Chase outstanding actions and ensure follow-ups are completed.
  • Own the CEO's calendar end-to-end: scheduling, rescheduling, resolving conflicts, and protecting blocks of focused work time.
  • Coordinate meetings across multiple time zones, including with US-based stakeholders during late-afternoon and early-evening overlap windows.
  • Apply standing calendar rules consistently and flag edge cases asynchronously rather than seeking approval for every decision.
  • Act as a confident gatekeeper - pushing back on meeting requests where appropriate and proposing alternatives.
  • Prepare briefing notes, pre-reads, and background research ahead of strategic calls, external partner meetings, and board engagements.
  • Draft agendas and capture follow-up actions.
  • Support preparation of materials for board communications and the CEO's interactions with external partners, funders, and senior stakeholders.
  • Manage travel arrangements, logistics, and expense reconciliation.
  • Assist with practical local logistics as needed, given the Cambridge base.
  • Liaise with operations and people functions to route queries, approvals, and information flows that do not require the CEO's direct involvement.
  • Track and follow up on actions from key meetings and commitments.
  • Hold a short daily sync with the CEO (15-20 minutes, around 10-10:30 am UK) to align on priorities and flag anything requiring attention that day.
