About The Position

The Executive Assistant to the Head of School serves as a highly trusted partner to the Head of School by providing executive-level administrative, organizational, and relational support. This individual plays a vital role in advancing the mission of the school through effective communication, exceptional organization, project coordination, and professional representation of the Head of School’s office. The Executive Assistant must demonstrate spiritual maturity, discretion, initiative, flexibility, and the ability to manage multiple priorities in a dynamic Christian school environment. This position requires strong interpersonal skills and the ability to interact professionally and graciously with students, parents, faculty, staff, board members, church leadership, donors, and community partners.

Nice To Haves

  • Bachelor’s degree preferred; associate degree or equivalent experience considered
  • Minimum of 3–5 years of executive administrative experience preferred
  • Experience in a Christian school, nonprofit, ministry, or educational environment strongly preferred
  • Knowledge of Florida school scholarship programs, including Step Up for Students, preferred

Responsibilities

  • Provide comprehensive executive-level support to the Head of School
  • Manage and coordinate the Head of School’s calendar, appointments, meetings, travel, and daily priorities
  • Prepare correspondence, reports, presentations, agendas, minutes, and confidential documents
  • Anticipate administrative needs and proactively manage tasks and deadlines
  • Coordinate logistics for meetings, events, interviews, and school functions
  • Facilities requests and reserving on-site facilities for meetings, events, etc.
  • Assist the Head of School with strategic initiatives and special projects
  • Maintain organized and accurate records, files, databases, and reports
  • Perform additional duties and special projects as assigned
  • Serve as the primary administrative liaison for the Head of School’s office
  • Professionally manage incoming phone calls, emails, visitors, and requests
  • Facilitate communication between the Head of School and parents, faculty, staff, board members, and church leadership
  • Draft and edit professional communications on behalf of the Head of School
  • Maintain a welcoming, professional, and service-oriented office environment
  • Support prospective family engagement and school hospitality efforts
  • Coordinate meetings/family interviews with prospective new families via phone and/or email
  • Coordinate School Board and committee meetings, including scheduling, agendas, meeting materials, minutes, and refreshments/meals and beverages needed
  • Maintain confidential board records and documentation
  • Assist with communication and follow-up related to governance matters
  • Support collaboration between the school and church leadership as applicable
  • Compose and send thank you letters to donors
  • Communicate with the Director of Development and Communications as needed
