About The Position

At Park Consulting Group, this person will be the trusted right hand to the Founder / CEO. This person will create order, protects priorities, anticipates what is coming, and makes sure important details never fall through the cracks. One hour may involve preparing the CEO for a major client meeting. The next may involve reorganizing travel, following up on a contract, solving a vendor issue, coordinating a company event, or handling a time-sensitive personal matter. The work is varied. The expectations are high. The impact is immediate. This is an opportunity for an exceptional Executive Assistant who wants to become indispensable to a Founder and help a growing company operate at a higher level. You will work directly with the Founder of a growing consulting firm and have a front-row view of how the company serves clients, develops business, solves problems, and continues to grow. Your contribution will be noticed every day.

Requirements

  • At least four years of relevant Executive Assistant, Personal Assistant, or senior administrative management experience.
  • Direct experience supporting a Founder, CEO, President, or senior executive with broad responsibilities.
  • Recent hands-on ownership of calendars, inboxes, travel, meetings, vendors, events, confidential information, and executive follow-through.
  • Exceptional attention to detail, organization, judgment, and discretion.
  • Strong written and verbal communication skills.
  • The ability to manage a high volume of work with limited supervision.
  • Strong proficiency with Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and other business-productivity tools.
  • Comfort experimenting with AI and automation to improve how work gets done.
  • A valid driver’s license, reliable transportation, and comfort driving throughout Orange County.
  • The ability to make this full-time position your primary professional commitment.

  • You do not wait for every step to be assigned. You think ahead, identify what will be needed, and take action before a problem reaches the CEO.
  • When plans change or something goes wrong, you remain calm, assess the options, and find a practical solution.
  • You are highly proficient with Microsoft 365 and comfortable learning new systems, especially thoughtful ways to use AI, automation, and technology to reduce repetitive work and improve accuracy.
  • You write concise, professional communications, take rigorous meeting notes, identify decisions and action items, and follow through until the loop is closed.
  • You genuinely enjoy helping an executive perform at a higher level.

Responsibilities

  • Monitor, organize, and prioritize incoming messages; coordinate and draft responses; surface important matters; and ensure critical communications receive timely attention.
  • Own a complex and changing executive calendar, resolve scheduling conflicts, protect the CEO’s time, and anticipate meeting preparation and travel requirements.
  • Coordinate flights, hotels, transportation, itineraries, and schedule changes with exceptional accuracy.
  • Organize agendas and materials, attend selected meetings, take detailed notes, document decisions, and track commitments through completion.
  • Demonstrated ability to create and maintain disciplined electronic filing, document-control, and information-management systems, preferably using SharePoint, Teams, and OneDrive.
  • Take special projects from initial direction through final delivery by defining next steps, coordinating participants, monitoring progress, and resolving issues.
  • Support vendor management, logistics, invitations, and tasks to organize company outings and events.
  • Create SOPs, checklists, trackers, and technology-enabled workflows that improve visibility, organization, and execution.
  • Coordinate purchases, returns, shipping, gifts, appointments, deliveries, and vendors at the office or personal residence, along with occasional errands throughout Orange County.
