About The Position

Our client, a rapidly scaling SaaS company building modern enterprise software, is seeking a high-caliber Executive Assistant to support their Chief Marketing Officer and act as the operational backbone of the marketing department. You will sit at the center of the marketing leadership team, ensuring the CMO and broader organization operate with precision, clarity, and creativity. Requirements

  • 2+ years of experience as an Executive Assistant
  • Experience supporting senior or C-suite executives in a fast-paced environment (tech, entertainment, fashion, luxury hospitality and/or marketing/PR)
  • Proven experience managing complex calendars, executive communications, and operational workflows
  • Experience coordinating events, offsites, or large-scale internal gatherings end-to-end
  • Familiarity with budgeting, expense tracking, and vendor coordination
  • Valid driver’s license and reliable transportation for occasional travel between SF and Palo Alto
  • Strong proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) and Slack

Responsibilities

  • Own and optimize a fast-moving, complex calendar for the CMO, proactively resolving conflicts and aligning priorities
  • Manage executive inboxes, triaging urgent requests, drafting responses, and ensuring timely follow-through
  • Prepare executives for all meetings by assembling briefs, tracking follow-ups, and ensuring full context is always available
  • Act as a trusted operational partner to improve efficiency and execution across leadership priorities
  • Lead end-to-end planning and execution of offsites, team events, and company gatherings (venue sourcing, vendor negotiation, logistics, catering, and onsite coordination)
  • Support internal planning sessions, strategic workshops, and high-stakes meetings (virtual and in-person)
  • Manage external vendors and partners, ensuring responsiveness, clarity, and strong execution standards
  • Route purchase orders, contracts, SOWs, and invoices through legal and finance workflows with high accuracy and speed
  • Oversee marketing swag, event assets, and branded materials, ensuring inventory is proactively managed and replenished
  • Coordinate inbound and outbound logistics for event materials and shipments across offices and field locations
  • Help cultivate team culture by supporting engagement, recognition, and a high-performance, connected environment
