About The Position

Our client is a well-established and growing service provider within the oil and gas industry, supporting field operations. They are seeking a highly organized, detail-oriented Executive Assistant to directly support the CEO. This role requires a professional who is comfortable operating in a fast-paced environment and who brings hands-on purchasing experience within oil and gas operations. The ideal candidate will serve as a trusted extension of the executive team, managing both professional and personal administrative responsibilities with efficiency.

Requirements

  • Purchasing experience within the oil and gas industry (required)
  • Strong understanding of oilfield operations, terminology, and procurement processes
  • Exceptional organizational, time management, and multitasking skills
  • High level of professionalism, confidentiality, and discretion
  • Proficiency with Microsoft Office (Outlook, Excel, Word) and purchasing systems
  • Strong communication skills—both written and verbal

Nice To Haves

  • Experience supporting a CEO or owner in an oil and gas or industrial services environment
  • Familiarity with vendor negotiations and cost controls
  • Ability to anticipate executive needs and operate independently

Responsibilities

  • Provide direct day-to-day administrative and personal support to the CEO
  • Manage calendars, appointments, travel arrangements, and scheduling priorities
  • Handle confidential and sensitive information with discretion
  • Serve as a liaison between the CEO and internal teams, vendors, and external partners
  • Manage purchasing activities related to oil and gas operations, equipment, parts, and services
  • Create, track, and reconcile purchase orders
  • Coordinate with vendors, suppliers, and field operations to ensure timely delivery
  • Maintain purchasing records and support cost tracking and approvals
  • Prepare reports, correspondence, and executive-level documentation
  • Assist with invoice review, approvals, and coordination with accounting as needed
  • Support internal processes and special projects as assigned
  • Maintain organized digital and physical filing systems
