About The Position

Executive Assistant to CEO provides project support and high-level coordination to the Chief Executive Officer (CEO) of the International African American Museum (IAAM) by working closely with the CEO, leadership team, Board of Directors (Board) and board-level committees to plan for and execute agreed upon priorities and action items. Drives logistics for regularly scheduled meetings and activities along with key projects. Participates in and coordinates closely with the Board Planning Team. Serves as a liaison to ensure effective Board meetings logistics and communication with Board. Coordinates and administers recruitment and orientation of new Board members and Officers.

Requirements

  • A minimum of three to five years experience preferred.
  • Experience with a variety of software tools including Microsoft Office and Outlook.
  • Experience with nonprofit fundraising database or CRM tools.
  • Strong attention to detail, accuracy and fluency in written and verbal communications.
  • Familiarity with clerical practices in the areas of office management and the preparation of business documents and letters.
  • Familiarity with participating in cross-departmental projects.
  • Flexibility and creativity to deal with miscellaneous tasks as they arise.
  • Experience collaborating among a group of individuals and/or managing projects.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate
  • Ability to act with integrity, professionalism, and confidentiality.
  • Any combination of education, training, and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job will be considered.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
  • The desired candidate must be eligible to work in the United States.

Responsibilities

  • Works with the Executive Leadership Team and the Board’s Executive Committee to implement short- and long-term tactics and strategies for the Board and board-level committees.
  • Ensures Board meetings are logistically effective and ensures adequate and effective communication with Trustees.
  • Coordinates the preparation and production of presentations for Board and board-level committee meetings with the Executive Leadership Team and other presenters.
  • Ensures relevant documents and briefing materials are sent in advance and delivered and distributed across the appropriate channels through close coordination with the Executive Assistant and other staff as necessary.
  • Serves as a resource for Board inquiries.
  • Attends general session of Board meetings, and board-level committee meetings as appropriate.
  • Serves as secretary for the general session of Board meetings, and board-level committee meetings as requested.
  • Assists with board recruitment, including (but not limited to) researching and developing informational profiles relating to the background, qualifications, attributes, characteristics, wealth capacity, and networks of prospective Trustees.
  • Supports and executes a systematic Trustee onboarding and orientation process.
  • Works with the Executive Assistant on all centralized Board recordkeeping activities.
  • Thoroughly reviews the Bylaws of the Board, history of the Museum, current Board composition, and recent Board minutes and recommends updates as needed.
  • Adheres to company policies and procedures, standards and practices, regulatory compliance, and company directives including dress code and attendance.
