About The Position

Provides high-level administrative, operational, and strategic support to senior management and business unit leadership. Oversees a broad range of administrative functions, confidential matters, office operations, facilities-related activities, and special projects. Manages priorities, coordinating resources, and ensuring seamless day-to-day business operations. Supervises administrative support staff, manages client and community engagement events, and serves as a primary liaison for office facilities, real estate, and workplace services.

Requirements

  • High school diploma or equivalent.
  • Five years of progressively responsible experience supporting senior management in a corporate environment and performing a wide variety of progressively responsible administrative work.
  • Comprehensive knowledge of executive office administration principles, practices, and procedures
  • Knowledge of organizational policies, governance practices, and business operations
  • Knowledge of meeting management, event planning, travel coordination
  • Exceptional organizational, planning, and time-management skills
  • Strong written, verbal, and interpersonal communication skills
  • Project coordination and multi-tasking skills with the ability to manage competing priorities
  • Strong leadership, coaching, and team development skills
  • Proficiency using Microsoft Office software suite

Responsibilities

  • Provides comprehensive administrative and operational support to senior management and business unit leadership, facilitating leadership communications and managing the workflow of documents requiring leadership review.
  • Maintains complex executive calendars, prioritizes competing requests, resolves scheduling conflicts, and coordinates meetings and appointments. Organizes and coordinates domestic and international travel arrangements.
  • Plans, organizes, and coordinates internal meetings, leadership events, client functions, and community engagement activities, overseeing all event logistics.
  • Serves as the primary point of contact for office operations, facility management, workplace services, and real estate-related requests, coordinating office space planning and managing facility service requests.
  • Supervises and provides leadership, guidance, training, and performance management for administrative support staff, assigning and prioritizing workloads and developing administrative processes.
  • Acts as a liaison between leadership, internal departments, clients, vendors, and external stakeholders, responding to inquiries and requests on behalf of leadership.
  • Processes credit card statements, invoices, expense reports, reimbursements, and procurement documentation, monitoring departmental budgets and tracking expenditures.
  • Participates in and may lead cross-functional projects requiring collaboration among multiple departments, identifying opportunities to enhance administrative and operational processes.
  • Provides back-up support and coverage for administrative and operational functions as needed.
  • Manages the annual performance management and merit processes for direct and indirect reports, coaching and developing team members.
  • Observes all policies, procedures, laws, regulations and risk limits specific to their role and raises and reports known or suspected violations.
  • Performs other related duties as required.
