About The Position

The Executive Assistant to the Provost and Vice President for Academic Affairs serves as a trusted executive partner who provides the high-level coordination, communication, and administrative support necessary for the Provost to lead Idaho State University's academic enterprise effectively. Reporting to the Director of Operations, this position implements and supports the operational priorities of the Office of Academic Affairs while ensuring the Provost’s Office remains focused on institutional leadership, strategic initiatives, and academic excellence. This role extends well beyond traditional administrative support. The Executive Assistant exercises sound judgment, anticipates executive needs, and manages a wide range of complex and confidential responsibilities in a dynamic, fast-paced environment. Working closely with the Director of Operations, the Executive Assistant executes established operational processes, coordinates executive activities, and serves as a key point of connection between the Provost's Office and internal and external stakeholders. The successful candidate is an experienced executive support professional who understands that exceptional executive assistance is built on anticipation, organization, discretion, and trusted relationships. The successful candidate will thrive in an environment where priorities shift quickly, competing demands require thoughtful coordination, and professionalism, discretion, and exceptional communication are essential. Through outstanding executive support and attention to detail, the Executive Assistant helps ensure the Office of Academic Affairs remains responsive, organized, and focused on advancing the University's mission. This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.

Requirements

  • Bachelor's degree from an accredited institution or equivalent combination of education and related experience.
  • At least five (5) years of progressively responsible experience supporting executive or senior leadership in a complex organization.
  • Demonstrated ability to exercise sound independent judgment, initiative, and strict confidentiality when managing sensitive matters.
  • Superior organizational, time-management, and multi-tasking skills with a proven track record of meeting tight deadlines.
  • Excellent interpersonal and written communication skills across diverse institutional stakeholders.
  • Advanced proficiency in Microsoft Office, Google Workspace, and enterprise administrative tools.

Nice To Haves

  • Experience providing executive-level support in higher education.
  • Experience working within a multi-campus organization.
  • Familiarity with faculty personnel processes, shared governance, or academic administration.
  • Experience coordinating executive meetings, board meetings, accreditation activities, or other high-level institutional events.
  • Experience supporting executive projects through administrative coordination and implementation.
