About The Position

Join our leadership team as an Executive Assistant & Project Coordinator, supporting our Chief Operating Officer (COO) and Chief Financial Officer (CFO). This is a highly visible role for an organized, proactive professional who thrives in a fast-paced environment and enjoys partnering with executive leaders to keep priorities moving forward. Beyond traditional executive support, this position plays a key role in project coordination, helping track deadlines, manage follow-up items, and ensure critical initiatives remain on schedule and in focus. In this role, you'll manage complex calendars, coordinate meetings and occasional events, and serve as a trusted partner to executive leadership. You'll also support employee recognition programs, including service milestone celebrations, recognition letters, awards, and monthly employee appreciation initiatives. The ideal candidate is a strong communicator with exceptional organizational skills, a keen attention to detail, and demonstrated experience supporting senior leaders. Success in this role requires excellent project coordination abilities, the confidence to manage multiple priorities simultaneously, and advanced proficiency with Microsoft Teams and other Microsoft Office applications. The Executive Assistant is responsible for providing high-level administrative support to a designated Vice President, ensuring the smooth workflow and daily operations in the department. This is a top-level administrative support position, working with highly confidential information and matters. Work situations are a variety of functions from a routine nature to complex special project work requiring organization in working with information relating to a wide variety of subject areas, policies, and programs. This position requires attention to detail; strong customer service skills; and discretion and good judgment when dealing with sensitive, privileged, and confidential information. This position has a wide variety of both internal and external contacts.

Requirements

  • Associates degree; equivalent years of experience or combination of experience and vocational secretarial coursework completion will be considered in lieu of degree
  • Minimum five (5) years high level administrative assistant or secretarial experience, in a health care setting preferred
  • Outstanding organizational and time-management skills.
  • Proven project coordination or project management experience.
  • Advanced Microsoft Teams proficiency.
  • The ability to anticipate needs, prioritize effectively, and manage multiple competing deadlines with professionalism and discretion.

Responsibilities

  • Provide executive support to the COO and CFO.
  • Manage calendars, meetings, and executive scheduling priorities.
  • Coordinate projects, track deadlines, and help ensure initiatives stay on course.
  • Organize meeting logistics, materials, and follow-up actions.
  • Assist with occasional event planning and coordination.
  • Administer employee recognition programs, including service awards, recognition letters, employee giveaways, and appreciation initiatives.
  • Partner across departments to facilitate communication and keep key projects moving forward.
