This role provides day‑to‑day administrative and project support to the VP, Reproductive Medicine and the AVP, Commercial Operations. They will provide both administrative support and project management, including the planning, tracking, and coordination of key initiatives that advance the commercial strategy. Success in this role requires a strong understanding of business priorities, the ability to anticipate needs, and the confidence to operate as a respected and proactive team member across all levels of the organization. The individual must demonstrate strong organizational skills, high detail orientation, professional judgment, and the capability to work independently as well as collaboratively. Requirements

  • Bachelor’s Degree Preferred
  • 5-8 years’ experience working at the executive level preferred.
  • Strong knowledge of MS Office (Word, Excel, PowerPoint); knowledge of Concur Expense Report System preferred.
  • Excellent calendar management skills and experience coordinating complex executive meetings and team events.
  • Demonstrated project management skills and ability to handle multiple, competing projects simultaneously to meet tight deadlines.
  • Demonstrated organizational skills with careful attention to detail and accuracy.
  • Ability to operate with a high level of autonomy.
  • Excellent written and verbal communication skills; ability to communicate and collaborate effectively across the organization.
  • Position requires maturity, discretion and the ability to stay calm under pressure.

Responsibilities

  • Proactively manage complex executive calendars, ensuring meeting spacing, prioritization, and weekly reviews with business unit leadership.
  • Coordinate and manage all executive travel arrangements, reservations, itineraries, and calendar integration.
  • Prepare, audit, and maintain expense reports, including initial review of direct report submissions.
  • Plan, schedule, and execute meetings and events, including agenda development, logistics, and follow-up actions.
  • Produce and distribute meeting minutes within established timelines, track and follow up on action items, and coordinate with global colleagues for logistics.
  • Organize quarterly and off-site meetings, compile and organize presentations and materials for leadership and cross-functional meetings.
  • Be an active participant in the Ferring Community Events Committee and support broader Ferring events.
  • Organize and conduct project meetings; track progress against milestones and report status updates.
  • Attend assigned project team meetings to capture detailed meeting notes and action items.
  • Support ongoing business operations by coordinating regular reviews with shared services (budget, KPIs, vendor management).
  • Draft, develop, and distribute communications timed to major holidays, events, and corporate activities (e.g., POA, quarterly meetings).
  • Partner cross‑functionally across all levels of the organization to understand business priorities and anticipate leadership needs.
  • Serve as a key point of contact for vendors, visitors, and internal stakeholders.
  • Manage onboarding and oversight of new and existing vendors, ensuring adherence to internal processes.
  • Coordinate with Marketing Services and Finance to set up POs, track invoices, monitor balances, and initiate adjustments as needed.
  • Support facility-related needs, IT requests, and general operational workflows.
  • Perform general administrative duties including supply ordering, meeting booking, interview scheduling, and guest accompaniment.
  • Maintain departmental files such as org charts, phone lists, templates, team bios, and shared resources.
  • Manage and track departmental budgets for including monitoring balances and adding funds to POs as needed.
