About The Position

American Terawatt is a vertically integrated HVDC transmission developer building a new industrial electric grid for the United States. They develop HVDC projects, build the control software and hardware that run them, and charge capacity tolls on the systems they operate. They serve large industrial loads, delivering hundreds of megawatts at a time. Their systems deliver electric power to everything from frontier AI datacenters to highly automated manufacturing, refineries, mines, and more. The backbone of American Terawatt’s network is based on long-distance underground HVDC transmission, anchored by software-defined ‘Macrogrids’ that actively manage local transmission between generation, storage, and loads.

Requirements

  • 5+ years of experience in an executive assistant, office management, or similar support role.
  • Demonstrated ability to manage complex scheduling and travel logistics across time zones.
  • Strong organizational skills and comfort juggling many parallel workstreams.
  • Clear written and verbal communication, and extremely high attention to detail.
  • Familiarity with Google Workspace, Slack, Ramp, and AI tools.

Nice To Haves

  • Experience supporting C-level executives, ideally at a fast-moving startup or growth-stage company.
  • Experience with contract management, Docusign.
  • An established network of go-to vendors, venues, restaurants, service providers. You ‘know’ (or can quickly find) someone for everything.
  • Familiarity with energy, infrastructure, or other technical industries.

Responsibilities

  • Stand-up NYC office, when it opens (expected Early Summer 2026).
  • Keep the executive team operating at full speed by managing the logistics, details, and day-to-day operations that make everything else possible.
  • Proactively anticipate needs before they come up, and put processes in place to do so.
  • Manage calendars and scheduling for 3 executives, ensuring time is allocated to the highest priorities and conflicts are resolved before they happen.
  • Coordinate travel end-to-end including flights, hotels, ground transport, visas, and itineraries, with contingencies built in.
  • Manage executive inboxes, triaging and routing information so nothing important gets lost or delayed.
  • Expense reconciliation for execs (receipts, coding, Ramp submission).
  • Meeting prep - agendas, pre-reads, action item tracking.
  • Light project management - owning small workstreams the exec or executive operations partner hands off.
  • Managing office supplies, snacks, lunches, equipment, shipping/mail, miscellaneous work-related errands.
  • NYC office manager, including vendor management, managing the office space itself, and developing strong rapport with building management.
  • Host and conference logistics event management - small and large, including limited domestic travel to support hosted events.
  • Act as local IT coordinator.
  • Act as local recruiting coordinator - site visit, onboarding assistance.
  • Take on ad-hoc projects as they come up.
  • Occasionally assist with important or time-sensitive activities outside of normal working hours.
