The Role The Executive Assistant & Office Manager provides high‑level administrative and operational support to the CFO/Head of Finance and COO/Head of Operations while overseeing day‑to‑day office operations for the Denver office. This role serves as a trusted partner to senior leadership, ensuring seamless executive support, efficient office management, and strong cross‑functional coordination in a fast‑paced, hybrid environment. Requirements

  • 6+ years of executive administrative experience supporting senior leaders (CFO, COO, or equivalent)
  • Proven expertise in complex calendar management, travel coordination, and expense management
  • Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously
  • Bachelor’s degree (preferred) in Business Administration, Communications, or a related field, or equivalent practical experience supporting senior executives

Responsibilities

  • Own complex calendar management for the Head of Finance and Head of Operations, including prioritization, conflict resolution, and proactive scheduling across multiple time zones.
  • Coordinate end-to-end logistics for internal and external meetings: agendas, pre-reads, attendee management, conference room/video conference setup, and follow-ups.
  • Drive staff meeting operating rhythm: agenda creation and management, content intake, action-item tracking, and distribution of notes/decisions.
  • Prepare, proof, and format executive-ready materials (e.g., PowerPoint) for staff meetings, leadership updates, planning reviews, and key stakeholder communications.
  • Provide “chief-of-staff”-type support as needed: basic project management, cross-functional coordination, drafting communications, and ensuring commitments are tracked to completion.
  • Manage executive travel planning end-to-end, including flights, lodging, ground transportation, itineraries, and last-minute changes.
  • Oversee travel and expense management for the Head of Finance and Head of Operations, including expense report preparation/submission, reconciliation, policy compliance, and coordination with Finance.
  • Serve as the on-site point of contact for the Downtown Denver office (hybrid environment), ensuring the office is welcoming, functional, and well-run.
  • Coordinate meeting spaces: scheduling, room readiness, supplies, catering, and A/V support to ensure seamless in-person and hybrid meetings.
  • Manage visitor experience: greeting guests, coordinating access/badging, conference room setup, and ensuring a professional front-of-house experience.
  • Plan and execute office events (team offsites, celebrations, volunteer events, leadership visits) including vendor coordination and budget tracking.
  • Oversee office operations: supplies ordering, light vendor management, mail/shipping, and basic facilities coordination.
  • Partner with Finance, Operations, and People teams to support office policies and a consistent employee experience.
  • Build strong relationships across Finance, Operations, and Denver-based teams to anticipate needs and remove friction.
  • Maintain high discretion with confidential information, executive communications, and sensitive business matters.
  • Identify opportunities to improve executive, travel, and office processes; implement systems that scale.
