About The Position

Entreflow Consulting Group is seeking a highly passionate and organised administrative professional to support its leadership team and wider organisation. The role provides executive and office administration in a fully remote Canadian team at a boutique consulting firm serving start-ups and high-growth companies. The position also supports sales and marketing coordination, onboarding, internal projects, and the improvement and automation of administrative workflows. The successful candidate will be proactive, resourceful, tech-savvy, comfortable with changing priorities, and able to work independently in a remote environment.

Requirements

  • At least 3 years of administrative, office coordination, or executive support experience.
  • A proven track record of working successfully remotely; the employer seeks someone who is more successful working remotely and has strong personal organisation.
  • Prior experience in a start-up or fast-paced environment, with the ability to handle shifting priorities and triage issues while staying informed about organisational activities.
  • An entrepreneurial spirit and genuine desire to support a growing business.
  • Strong organisation and attention to detail, exceptional written and verbal communication skills, and the ability to manage multiple priorities effectively.
  • A lifelong-learning approach, tech-savviness, and eagerness to use technology and automation to streamline work; willingness to own automation projects rather than wait for others to implement or provide training.
  • Strong problem-solving skills, independent judgment, and ability to find and implement creative solutions.
  • A proactive and resourceful approach, with the ability to anticipate needs and take initiative without being asked.
  • A growth mindset and willingness to take on increasing responsibility as business needs evolve.

Responsibilities

  • Provide administrative and organisational support to the leadership team, including calendar coordination, meeting management, reporting, presentation preparation, and day-to-day priorities.
  • Coordinate internal and external meetings; prepare agendas and materials, track follow-ups, and ensure action items are captured and completed.
  • Support the Sales and Marketing Coordinator with blog reviews, content coordination, and social media posts.
  • Liaise with vendors, service providers, and external partners, including coordinating purchases, subscriptions, renewals, and other administrative requirements.
  • Maintain organised company records, documentation, files, and administrative systems, keeping information accurate, accessible, and up to date.
  • Support managers with new-hire onboarding, particularly equipment, systems, and processes, and ensure new team members have what they need to get started.
  • Identify opportunities to improve administrative processes, systems, and workflows.
  • Take ownership of additional administrative priorities and special projects as they arise, using sound judgment and a proactive, solutions-oriented approach.
  • Coordinate and support internal projects from planning through completion, keeping timelines, deliverables, stakeholders, and follow-ups on track.
  • Anticipate needs, stay ahead of deadlines, and proactively identify ways to support the leadership team and wider organisation.
  • Investigate, validate, and implement methods to automate administrative tasks and make time to support projects and initiatives.

Benefits

  • Three weeks of vacation to start, increasing to four weeks after the first year.
  • One-on-one mentoring, coaching, and succession planning with the employee’s manager.
  • Biannual reviews.
  • Coverage for formal and informal education.
  • Fully remote work environment; the team is based in Canada.
