About The Position

GCG is seeking an organized, service-oriented Office Manager & Executive Assistant to support our Connectivity & Power Solutions (CPS) business at our Collegeville, Pennsylvania location. As our Office Manager, you'll serve as the first point of contact for employees, customers, vendors, and other visitors to the office while also providing administrative support to the CPS President and members of the senior leadership team. The ideal candidate enjoys creating an organized, welcoming workplace, takes ownership of details, and is comfortable balancing front-office responsibilities with scheduling, travel coordination, expense reporting, meetings, events, and other administrative needs. This is a highly visible role that requires professionalism, strong follow-through, good judgment, and the ability to shift comfortably between day-to-day office needs and leadership support.

Requirements

  • 3+ years of administrative, office management, executive support, reception, or related professional experience.
  • Experience supporting leaders, managers, or a professional office environment.
  • Strong proficiency with Microsoft Outlook, Teams, Word, PowerPoint, and Excel.
  • Experience coordinating calendars, meetings, travel, expenses, events, or office logistics.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to producing accurate, professional work.
  • Professional and welcoming interpersonal style with the ability to interact effectively with employees, customers, senior leaders, vendors, and visitors.

Responsibilities

  • Manage the Front Office & Employee Experience: Serve as the primary point of contact for visitors to the Collegeville office, providing a professional and welcoming experience. Answer and route incoming telephone calls and general inquiries to the appropriate individuals or departments. Welcome customers, vendors, candidates, employees, and other guests and coordinate visitor access as needed. Maintain an organized and professional reception and common-area environment. Coordinate incoming and outgoing mail, deliveries, packages, and other general office communications. Help employees and visitors navigate routine office questions and connect them with the appropriate resources.
  • Coordinate Office Operations: Support the day-to-day administrative needs of the Collegeville location and help ensure the office operates efficiently. Coordinate office supplies, kitchen and common-area supplies, meeting-room readiness, and other workplace needs. Serve as a point of contact for building management, office vendors, facilities providers, and other external partners. Coordinate routine office maintenance, service requests, and vendor visits. Maintain organized office records, documentation, contact lists, and administrative files. Identify practical ways to improve office processes, organization, and the employee and visitor experience. Support onboarding logistics for employees joining the Collegeville location, including workspace and first-day readiness in partnership with HR and other internal teams.
  • Provide Administrative Support: Provide administrative support to the CPS President and, as needed, members of the CPS senior leadership team. Manage and coordinate calendars, meetings, appointments, and scheduling requests. Help identify scheduling conflicts and coordinate changes as priorities evolve. Coordinate meeting invitations, conference rooms, virtual meeting technology, materials, and other logistics. Assist with preparation, formatting, proofreading, and distribution of presentations, reports, correspondence, and meeting materials. Help track administrative deadlines, follow-up items, approvals, and other leadership commitments. Handle confidential and sensitive business information with appropriate discretion.
  • Coordinate Travel & Expenses: Arrange domestic travel for the CPS President and other senior leaders as assigned, including flights, lodging, ground transportation, and itineraries. Assist with adjustments to travel plans when schedules or business needs change. Prepare, submit, reconcile, and track expense reports accurately and on time. Maintain appropriate receipts and supporting documentation in accordance with company policies. Assist leaders with routine travel- and expense-related administrative questions.
  • Support Meetings, Events & Business Activities: Coordinate logistics for CPS leadership meetings, employee events, customer visits, leadership off-sites, Town Halls, celebrations, and other business activities. Coordinate facilities, catering, meeting spaces, technology, materials, accommodations, schedules, and attendee communications. Partner with internal teams and outside vendors to support successful meetings and events. Confirm that rooms, materials, technology, catering, and other logistical details are ready in advance. Assist with employee recognition activities, celebrations, and other efforts that contribute to a positive workplace experience.
  • Provide General Administrative Support: Draft, edit, proofread, format, copy, scan, distribute, and maintain routine business documents and communications. Coordinate document signatures, approvals, invoice processing, and other administrative transactions. Maintain electronic and physical files and records in an organized manner. Gather information and materials needed for meetings, communications, and business activities. Provide administrative support for special projects as requested. Perform other duties as assigned based on the needs of the business and Collegeville office.
