About The Position

Administrative and Executive Support Services are crucial in the day-to-day business of Walmart! The Executive Assistant plays a critical role in supporting legal leadership by managing complex calendars, coordinating meetings, and organizing team-related events with minimal supervision. This position requires effective communication, administrative expertise, and the ability to anticipate needs while prioritizing tasks. The role involves preparing travel arrangements, handling expense reports, and facilitating smooth information flow between stakeholders. The Executive Assistant contributes to operational efficiency by applying business and team knowledge, maintaining confidentiality, and fostering collaborative relationships to support organizational goals and ensure seamless daily operations. The Enterprise Growth Legal teams that provide strategic counsel and support to Walmart Connect, Sam’s Club MAP, Data Ventures, Walmart+, VIZIO Integration Management Office, and Customer Data & Identity (CDI) focus on advancing high-growth business priorities while mitigating company risks.

Requirements

  • Proven expertise in calendar management and scheduling with minimal supervision.
  • Strong administrative and office support skills, including travel arrangements and expense report processing.
  • Proficiency in Microsoft Office and coordinating business-related events and meetings.
  • Excellent verbal and written communication abilities to draft and manage leadership correspondence.
  • Ability to prioritize requests, manage confidential information, and support leadership effectively.
  • Experience collaborating with stakeholders to deliver business solutions and maintain operational efficiency.
  • Commitment to integrity, ethics, and upholding company policies and values.
  • Bachelor’s degree in Business, Operations, or related field OR 2 years’ experience in field, administration, operations, or related area.

Responsibilities

  • Coordinate and schedule projects, events, and meetings with minimal supervision, ensuring efficient use of resources and timelines.
  • Manage complex calendars for leadership and teams, prioritizing appointments and anticipating preparation needs.
  • Draft, review, and send clear communications on behalf of leadership, maintaining confidentiality and professionalism.
  • Manage meetings, including note taking, editing slide decks and creating broad communications, running conference lines or webinar/video conferences.
  • Organize travel arrangements, expense reports, and financial data reconciliation in alignment with company standards.
  • Serve as a liaison on-site for associates and guests, providing administrative support and resolving inquiries promptly.
  • Collaborate with stakeholders to identify business needs and support continuous process improvements.
  • Assist in managing outside counsel spend budgets.
  • Balance multiple projects in support of numerous team members both domestic and internationally.
