About The Position

Denver Human Services (DHS), within the City and County of Denver, is seeking a motivated and highly skilled Executive Assistant III to serve as a strategic partner to the Executive Director. This is a high-trust, high-visibility role responsible for managing administrative operations and strengthening executive relationships as the central point of contact for the Mayor’s Office staff, internal leadership teams, partner agencies, and external stakeholders. The Executive Assistant III serves as a trusted member of the executive team and the primary support to the Executive Director. You will learn the Executive Director’s priorities, communication style, and working preferences, anticipate needs, protect time for key priorities, and provide respectful advice when appropriate. Acting as a force multiplier, you will ensure the Executive Director’s time, meetings, communications, and daily priorities move forward seamlessly in a fast-paced, dynamic environment.

Requirements

  • Graduation from high school or possession of a GED, HiSET, or TASC Certificate.
  • Three (3) years of administrative/secretarial experience which must include one (1) year of experience providing support to a manager responsible for large, complex divisions or the highest‑level manager of a small organization.
  • 5+ years supporting executive‑level or senior leaders, ideally in government, human services, public service, or similarly fast‑paced organizational environment
  • Exceptional organizational skills and the ability to manage competing priorities with precision in a dynamic environment.
  • Strong written and verbal communication skills, with the ability to craft professional materials and communicate effectively with diverse audiences.
  • Ability to diagnose issues, think strategically, and offer practical solutions.
  • Comfort working independently, applying sound judgment in ambiguous situations, and appropriately escalating matters when needed.
  • Outstanding interpersonal skills and an ability to build trusting relationships with staff, elected officials, community partners, other executive assistants, and members of the public.
  • Ability to remain calm, productive, and solutions‑focused in high‑pressure environments.
  • Proven ability to manage confidential information and navigate sensitive situations with tact and professionalism.
  • High ethical standards, integrity, reliability, and alignment with public‑service values.

Responsibilities

  • Serve as the Executive Director’s strategic partner by anticipating needs, ensuring preparation, and driving follow‑through on top priorities.
  • Manage a complex, frequently changing calendar, applying strong judgment to identify emerging priorities, balance competing requests, resolve conflicts, and protect time for established priorities.
  • Effectively triage incoming information and requests, ensuring the Executive Director receives the most relevant and actionable items while accurately representing the Executive Director’s perspective.
  • Coordinate high‑level internal and external meetings, public engagements, leadership retreats, strategy sessions, and cross‑department collaboration.
  • Serve as liaison for the Executive Director, Mayor’s Office, elected officials’ staff, community partners, and internal teams, ensuring clear and timely communication.
  • Support key governance structures by managing leadership meeting cadence, preparing agendas and materials, coordinating follow‑up actions, and maintaining clear internal communication flow.
  • Collaborate across the Executive Leadership Team to coordinate deadlines, track commitments, and maintain alignment on priorities.
  • Respond compassionately to inquiries from DHS clients or individuals seeking resources or assistance.
  • Exercise a high level of discretion and sound judgment when managing confidential and sensitive information.
  • Develop polished presentations, briefing materials, and leadership communications.
  • Leverage mastery of Microsoft 365 tools—including Teams, OneDrive, and SharePoint—to support collaboration, documentation, and information management.
  • Use databases, dashboards, and reporting tools common in public‑sector environments to organize and interpret information supporting executive decision‑making.
  • Manage workflows and navigate systems such as Workday, budgeting platforms, and scheduling tools essential to DHS’s operations.
  • Plan, organize, and coordinate travel logistics for the Executive Director, including itinerary development, reservations, and expense reconciliation.
  • Model DHS values, cultivate trusted relationships, and contribute to a collaborative culture.
