We’re seeking a future team member for the role of Executive Assistant to join our Financial Planning and Analysis team. This role is located in New York. In this role, you’ll make an impact in the following ways:

Requirements

  • Proven administrative experience, preferably supporting finance, accounting, or senior leadership teams.
  • Experience in a large financial services or corporate environment.
  • Bachelor’s degree or equivalent experience.
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.

Responsibilities

  • Provide senior level administrative support in a fast paced, deadline driven environment.
  • Serve as a primary and central coordination point for daily operations, communications, and workflow
  • Ensure seamless execution of administrative processes while maintaining confidentiality, accuracy, and professionalism
  • Manage calendars, schedule meetings, and coordinate appointments
  • Prepare, edit, and distribute meeting agendas, minutes, presentations, and financial documents.
  • Coordinate domestic and international travel, including itineraries, logistics, and expense reconciliation
  • Screen and route calls and emails
  • Coordinate logistics for team meetings, workshops, audits, and cross departmental initiatives
  • Support onboarding of new team members, including system access, equipment requests, and orientation materials
  • Handle confidential information with discretion and sound judgment
  • Assist with special projects, process improvements, and administrative initiatives as assigned
  • Maintain office supplies, technology needs, and vendor coordination
  • Adopt and leverage BNY AI Enabled tools to enhance administrative efficiency
