Join us as an Executive Assistant II, and help us do what we do best: propelling business forward. This will be a hybrid role working between your home office and our Burlington MA headquarters. As an Executive Assistant II, you will provide high-energy, proactive, and efficient executive administrative support to one US-based CEO organization leader. The key to success in supporting teams with different needs is the ability to be flexible depending on the service you are providing. This position requires strong organizational, administrative, and people skills, as well as the ability to solve problems in a fast-paced environment.

Requirements

  • 4-6 years’ experience providing administrative support to senior-level positions, preferably in technology.
  • Strong knowledge of Office 365 at an advanced level, including Word, PowerPoint, Excel, Co-Pilot and Teams.
  • An initiative-taking, proactive, and highly detail-oriented approach, ensuring no detail slips through the cracks.
  • Comfort interacting with all levels within the organization.
  • The ability to manage highly confidential information and sensitive situations with the utmost discretion.
  • An outgoing personality and a trustworthy approach, with a strong sense of ethics.
  • Outstanding judgment and common sense.
  • Highly professional behavior at all times.
  • Superior interpersonal, listening, and organizational skills.
  • The ability to communicate clearly and thoroughly with a broad range of people, gaining respect, understanding, commitment, and support.

Nice To Haves

  • Knowledge of Asana would be useful but is not essential.

Responsibilities

  • Manage scheduling across multiple time zones, understanding the executive’s priorities and preferences, working with discretion, and prioritizing effectively. Good calendar management includes accepting, declining, or proposing new meeting times; managing conflicts; planning with other stakeholders and EAs as needed; and communicating changes promptly.
  • Arrange, book, and manage domestic and international travel, including managing visa applications via our travel agency for the EVP.
  • Plan and coordinate events and meetings hosted by Loren, including setup, materials preparation, and logistics with catering, facilities, and IT.
  • Submit executive expenses in line with corporate guidelines.
  • Purchase items or gifts for the team, ensure manual mail distribution lists are up to date for the team, and perform other tasks as needed by the EVP.
