About The Position

The Executive Assistant II provides high-level administrative and operational support to Key Legal leadership and team members, helping manage competing priorities, coordinate critical workflows, and maintain efficient day-to-day department operations with professionalism, discretion, and sound judgment.

Requirements

  • High School Diploma or GED required
  • Minimum of 3 years of experience supporting senior leaders in a professional or corporate environment
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong organizational and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to maintain confidentiality of sensitive information.

Responsibilities

  • Provide high-level administrative and operational support to KeyBank’s Legal Department, including proactive coordination of day-to-day priorities and follow-through on time-sensitive matters.
  • Support attorneys, paralegals, and legal department leadership by managing schedules, preparing materials, and helping ensure work progresses efficiently across multiple matters and projects.
  • Serve as a key point of coordination for internal and external communications, responding to inquiries with professionalism, discretion, and sound judgment.
  • Coordinate calendars, schedule meetings, manage logistics, and anticipate conflicts to support efficient use of attorney and leadership time.
  • Maintain organized records, files, and internal systems, including matter tracking and related administrative processes where applicable.
  • Prepare, format, revise, and proofread correspondence, presentations, reports, and other legal or operational documents with a high degree of accuracy and attention to detail.
  • Coordinate with vendors, outside counsel, and internal stakeholders on administrative and operational matters, help facilitate timely follow-up and effective communication.
  • Maintain accurate data and support department reporting, tracking, and recordkeeping activities in applicable systems.
  • Handle sensitive information with a high level of confidentiality and exercise discretion in carrying out responsibilities.
  • Provide flexible support for additional administrative, operational, and matter-related responsibilities as department needs evolve.
  • Assist with planning departmental activities.
  • Provide assistance with Key Legal systems, including document management and matter management systems.
