About The Position

This position provides essential administrative support to the Chief of Employee and Student Services, ensuring the smooth daily operations of the department. The role involves managing complex schedules, coordinating meetings and projects, preparing various documents, and maintaining confidential records. The Executive Assistant will also assist with budgeting, purchasing, and compliance reporting, while collaborating with internal and external stakeholders to provide excellent customer service and operational support. The position requires a high degree of professionalism, adaptability, initiative, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • High school diploma/GED equivalent
  • Minimum of five (5) years experience as an administrative secretary
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities, detail-oriented, and the ability to prioritize multiple tasks effectively
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, project management software, and other office productivity and technology tools (efinance, eSchoolPlus, Applicant Tracking System, and Laserfiche)
  • Proven ability to maintain confidentiality and handle sensitive information with discretion
  • Experience managing complex schedules, overseeing projects, and facilitating high-level communications
  • Ability to work independently and as part of a team, demonstrating initiative in resolving issues and improving processes
  • Strong interpersonal skills, with the ability to build collaborative working relationships across departments and campuses

Nice To Haves

  • Some college preferred
  • Minimum of three (3) years in public education setting preferred

Responsibilities

  • Provide administrative support, including calendar management, scheduling, correspondence, and meeting coordination.
  • Support daily operations through effective communication, organization, and follow-through.
  • Prepare, edit, and distribute correspondence, reports, presentations, newsletters, and other materials.
  • Prepare, maintain, and review reports and data.
  • Assist with budgeting, purchasing, reconciliation, and monitoring of expenditures.
  • Coordinate and support projects, meetings, compliance activities, and district initiatives.
  • Maintain confidential employee and student records and handle sensitive information with discretion.
  • Support district, state, and federal compliance and reporting requirements.
  • Collaborate with departments, campuses, and stakeholders to provide customer service and operational support.
  • Assist with planning and coordinating departmental and districtwide events and activities.
  • Maintain office operations, records management, workflow coordination, and administrative procedures.
  • Demonstrate professionalism, adaptability, initiative, and the ability to manage multiple priorities in a fast-paced environment.
  • Perform other duties as assigned by the Associate Superintendent.
