Requirements

  • Bachelor's degree in business administration, finance, or related field, plus two (2) years of administrative support experience OR High School Diploma/GED, plus six (6) years of administrative support experience.
  • Must also be proficient in Microsoft Office, Word, Excel, and PowerPoint.
  • Proof of legal authority to work in the United States on the first day of employment.

Nice To Haves

  • Cutting edge skills utilizing organizational software such as Box, Adobe Suite, RedCap database development and management skills, Workday experience, and professional caliber social media communications and experience with SharePoint.

Responsibilities

  • Manage the Chair’s calendar, travel arrangements, meetings, correspondence, and departmental activities.
  • Coordinate communication with faculty, staff, and other departments across campus.
  • Prepare presentations, reports, correspondence, meeting materials, and minutes.
  • Maintain departmental spreadsheets, databases, files, and records.
  • Process and reconcile faculty and staff travel expenses and the department’s BTA card account.
  • Procure departmental supplies and services and process purchase requisitions in Workday.
  • Identify and apply the appropriate cost centers for departmental expenses.
  • Serve as the departmental timekeeper and assist with screening applicant resumes.
  • Provide administrative support to the Department Administrator, faculty, and resident physicians.
  • Track faculty and resident expenditures from designated fund accounts.
  • Manage general office operations, including phone calls, visitors, mail, faxes, office supplies, and housekeeping requests.
  • Protect sensitive and confidential information.
  • Perform other duties as assigned.
