The Executive Assistant will provide day-to-day administrative support to the SVP Global Supply Chain and Technical Operations and lead or contribute to projects for the broader Global Supply Chain and Technical Operations team.

Requirements

  • A minimum of 10+ years’ administrative experience with at least 3 years spent supporting an executive and global leadership team.
  • Degree of personal integrity, discretion, and confidentiality.
  • Verbal and written communication skills with a customer service mindset.
  • Organizational skills and prioritization skills.
  • Demonstrated ability to multi-task with keen attention to quality and accuracy.
  • Ability to work under tight and changing timelines.
  • Proven experience working within a growing global organization.
  • Strong work ethic and high degree of self-motivation.
  • Experience successfully planning and coordinating events.
  • Word, PowerPoint, Excel, and Outlook skills; power users preferred.
  • Experienced with video conferencing technology (e.g. Zoom, Teams, etc.).

Responsibilities

  • Responsibilities management including the ability to determine priorities when scheduling internal and external meetings and proactively address conflicts in scheduling.
  • Proactively manage global travel for the SVP Global Supply Chain and Technical Operations including flights, hotels, and meeting commitments.
  • Manage meeting logistics (e.g. room preparation, catering, check-in, etc.)
  • Support with various Supply Chain activities to include managing calendar invites and logistics for travel to external sites and events.
  • Help prepare meeting materials, including meeting agenda preparation/distribution, collecting/printing meeting pre-reads, minute or note-taking, and assembling/editing PowerPoint presentations.
  • Perform confidential administrative functions where reports could have an effect on cost.
  • Proof and assemble reports or proposals for customers or outside agencies.
  • Take, transcribe, and distribute minutes for important meetings.
  • Proactively and independently manage expense reports.
  • Handle details of a highly confidential and sensitive nature internally and externally.
