About The Position

The Executive Assistant & Events Lead sits at the intersection of Corporate Communications and the Office of the CEO, providing high‑touch executive support and leading the planning and execution of high‑impact corporate and employee events. This role is critical to ensuring seamless execution of Corporate Communications priorities, CEO‑related engagements, Board of Directors meetings and various events and activations the enterprise that reflect Ventas’ brand, culture, priorities and leadership standards. Reporting to our VP, Corporate Communications, with a dotted line to the Office of the CEO, this role provides key operating leverage across two highly collaborative teams and plays a central role in facilitating the day-to-day operations of the Corporate Communications team to scale its impact and support executive‑level engagement.

Requirements

  • Bachelor’s degree required, ideally in business, marketing, or a related field.
  • 5+ years of experience in executive support, corporate events, communications, or related roles, ideally within professional services, financial services, or similarly high‑expectation environments.
  • Must be located in the Chicago, IL surrounding area or willing to relocate for the duration of employment.
  • Willingness to adapt and thrive in a blended work environment with 3-days in office (or more when needed), seamlessly transitioning between remote work and in-office operations.
  • Demonstrated experience supporting senior executives and leading complex, high‑visibility events with a strong emphasis on participant/guest experience, discretion, judgment and attention to detail.
  • Proven ability to operate as a self‑starter in fast‑paced environments, managing multiple workstreams and shifting priorities with confidence.
  • Strong proficiency with Microsoft Outlook, PowerPoint and event communication tools (e.g., event management & digital marketing platforms, contact management, presentation materials).
  • Exceptional organizational, communication, and interpersonal skills, with the ability to collaborate effectively across teams and build strong internal and external relationships.
  • Must be legally authorized to work in the United States without need for employer sponsorship now or in the future

Responsibilities

  • Provide executive assistant support to Corporate Communications leadership, including responsibility for the day-to-day operations/administrative needs of the function; calendar management and scheduling; tracking key initiatives, action items and deliverables; and coordination across the Corporate Communications team and with internal and external stakeholders.
  • Provide selective support to the Office of the CEO, including coordination between calendars, meeting logistics, preparation of materials and day‑of execution for high‑priority engagements.
  • Serve as a key partner to the Office of the CEO by supporting CEO‑related events and appearances, including Board of Directors meetings, leadership offsites, internal and external events and other high‑touch, high‑visibility interactions.
  • Lead the planning and execution of corporate and employee events produced by the Corporate Communications team, including large‑scale internal events, leadership celebrations, employee engagement opportunities, philanthropy‑related events and select external engagements.
  • Own end‑to-end event strategy and logistics, including timelines, budgeting and payments, vendor and partner coordination, invitations, guest tracking, run‑of‑show development, on‑site execution and post‑event follow‑up.
  • Partner closely with internal stakeholders (Corporate Communications, Executive Office, other Executive Assistants, HR, Legal, IT as needed) to ensure alignment, clear ownership and flawless execution.
  • Develop and maintain high‑quality communications materials related to events and executive engagements, including invitations, presentations, agendas, briefing materials, select participant communications and supporting documentation, working with creative partners as needed.
  • Act as a trusted brand and culture ambassador, ensuring all interactions, communications and experiences reflect Ventas’ values, professionalism and attention to detail.
  • Continuously identify opportunities to improve processes, tools and execution, bringing a proactive, creative, solutions‑oriented mindset to both executive support and event leadership.
