About The Position

The Executive Assistant provides thorough and professional administrative and coordination support to the Mayo Clinic CEO or President and CAO (AZ, FL, RST, MCHS, MCP), or the Executive Dean (Education, Research, Practice and Development), C-Suite (MCAT) leaders, or the Board of Trustees/Board of Governors. The Executive Assistant - Enterprise receives direction from the Administrative Office Manager-Enterprise or a senior leader. The Executive Assistant provides thorough and professional administrative and coordination support. The Executive Assistant uses judgment and initiative to coordinate calendars, complete a variety of special projects, as well as prioritizing information. In doing so, the incumbent ensures that the executives maintain a high level of responsiveness to the organization, while maintaining maximum availability. The Executive Assistant works cooperatively with system-wide leadership and support staff, counterparts in outside healthcare and corporate organizations, and peers.

Requirements

  • High school diploma or equivalent.
  • Successful completion of a one- or two-year degree/diploma in an administrative assistant/secretarial field or an equivalent combination of education and experience.
  • A minimum of five years’ experience supporting senior leaders in an administrative assistant and/or executive assistant role.
  • Excellent application of grammar, punctuation, and English usage.
  • Computer experience and proficiency on technical office equipment and tools (Outlook, Word, Excel, PowerPoint, Teams, Zoom).
  • High-level skill in organization, clerical aptitude, interpersonal relations, excellent written and oral communication skills.
  • Ability to prioritize and handle a variety of tasks simultaneously.
  • Demonstrated good decision-making and judgment as well as attention to detail and follow-through.
  • Ability to adapt to a rapidly changing environment.
  • Demonstrated ability to manage extremely confidential information.
  • Ability to demonstrate tact, diplomacy and a high level of professionalism.

Nice To Haves

  • A bachelor’s degree is preferred.
  • Demonstrated knowledge of complex organizations, with an emphasis on health care environments is preferred.
