The Executive Assistant is responsible for providing administrative and project support to the Executive Vice President (EVP) and their team.

Requirements

  • A Bachelor’s Degree and a minimum of 7 years of administrative support experience, at least 3 of which have been at the executive level. Relevant experience may be substituted for education.
  • Strong organizational skills, critical thinking, and effective written and verbal communication skills are required.
  • The ability to work autonomously and exercise independent judgment is required.
  • Advanced skills in the Microsoft Office suite are required, along with demonstrated ability to learn and leverage new technologies, tools, and systems to improve efficiency and collaboration.
  • Demonstrated ability to identify inefficiencies, improve processes, and leverage technology to enhance administrative operations and executive support.
  • Proven ability to exercise sound judgment, discretion, and professionalism when handling sensitive and confidential matters at the executive level.
  • Proven success in working in a diverse, multi-cultural environment is required.
  • Ability to perform effectively in a fast-paced, high-visibility environment while managing competing priorities and maintaining personal well-being.
  • Ability to work onsite full-time to meet the collaborative responsibilities that are essential for this role.
  • Regular and reliable attendance is required.
  • Ability to protect the confidentiality of sensitive information by learning and following all relevant policies and protocols and using sound judgment in the handling and sharing of that information.
  • Local travel as well as occasional out of town travel may be required.
  • Driving on Casey business may require use of personal vehicle; adherence to vehicle safety guidelines and qualification for insurance is required.

Responsibilities

  • Maintains the EVP’s calendar and travel schedule.
  • Works closely with the EVP, the CFS leadership team, and other internal and external parties to ensure a well-coordinated schedule.
  • Manages projects and events in conjunction with the EVP and CFS leadership team.
  • Coordinates with CFS staff, other Casey work units, external partners, and vendors to ensure successful project/event completion.
  • Responds to incoming requests to the EVP on a wide variety of issues and works through to resolution.
  • Drafts and edits memoranda, reports, presentations, and other documents as requested by the EVP.
  • Develops and maintains CFS administrative processes, ensuring alignment with Casey policies and CFS goals.
  • Serves as the functional lead and subject matter expert for CFS administrative practices at HQ by providing coaching, mentorship, and day-to-day guidance to CFS administrative staff, supporting onboarding, and promoting consistency and best practices across the team (without formal supervisory responsibility).
  • Supports the EVP and the CFS leadership team in budget development, monitoring, and analysis; prepares adjustments as needed and partners with staff to ensure accurate and timely processing of invoices, expense reports, and other financial items.
  • Identifies and implements opportunities to improve administrative efficiency and effectiveness through process improvement, thoughtful use of technology, and adoption of new tools and best practices; partners with stakeholders to streamline workflows and enhance how work gets done.
  • Serves as the primary vendor liaison, managing end-to-end contract administration—including submission, tracking, invoicing, and payments—while overseeing EVP contract review and approval processes and supporting CFS administrative work unit contracts.
  • Performs other duties as assigned.
