About The Position

As the Executive Assistant for Swope Health, you will provide direct administrative support to the President/CEO. The Executive Assistant ensures the office and administrative functions associated with the office of the CEO are run efficiently and effectively. The Executive Assistant also provides support to the Chief Financial Officer and the Senior Leadership Team as needed.

Requirements

  • Highschool Diploma or equivalent required
  • Demonstrated knowledge and experience with office automation equipment, including Cisco phone computers and related software, including Microsoft Word, Excel, and Outlook.
  • Excellent typing skills
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills, and demonstrated success in a multi-task environment
  • Attention to detail and follow through. Dependability and team spirit.

Nice To Haves

  • Bachelor's Degree in Business Administration or related preferred

Responsibilities

  • Ensure that all administrative tasks and duties associated with the operations of the President's office are executed in a professional and efficient manner.
  • Ensure the orderly and timely processing, responsiveness and retention of all incoming and outgoing documents.
  • Review and prioritize all incoming mail, messages and correspondence
  • Effectively manage a high degree of confidential information, and ensure that such information is communicated and/or maintained in an appropriate and professional manner at all times.
  • Facilitate all inquiries and correspondence directed to and from the President.
  • Function as a resource to Board members, staff members, other managers and professional associates of the President. Facilitate answers to questions, and ensure that all inquiries are addressed with an appropriate sense of service, urgency and direction at all times.
  • Represent the President’s office in a highly professional manner at all times.
  • Provide verbal, written and electronic communication with other executives, employees, vendors, consultants and other resources as required.
  • Provide heavy and complex Calendar management, meeting planning, scheduling, and coordination on behalf of the President, in addition to the Senior Leadership Team as required.
  • File correspondence, process invoices, organize reports, route inquiries to appropriate parties, and maintain a high degree of organization at all times.
  • Manage all duties related to the Swope Health Services Board of Directors. Manage information in Board Effect and prepare documents and or communication for the monthly board meeting.
  • Other duties as assigned
