About The Position

The TAA (Technology, AI & Analytics) and EiR (Executives in Residence) team is seeking a self-motivated, highly organized, and high-performing Executive Assistant. This role supports two Director-level executives and is located in New York, NY. This role is responsible for coordinating and managing complex calendars across multiple time zones, arranging both international and domestic travel, planning and executing team events, and maximizing team efficiency and productivity. You will serve as a primary point of contact between team members and leadership, fostering effective communication and collaboration. The Executive Assistant will partner with leaders, business partners, stakeholders, and Executive Assistants across the company to achieve key deliverables. The ideal candidate will thrive in a fast-paced, changing environment, bringing exceptional attention to detail, discretion in handling confidential information, and the ability to adapt seamlessly to shifting workloads and priorities. They will complete complex tasks and projects quickly with minimal guidance, react with appropriate urgency to time-sensitive situations, and take effective action even with limited context, demonstrating creativity, initiative, and a relentless bias toward action in both problem-solving and task management. This role requires comfort operating across both internal and external audiences — from coordinating customer executive meetings and press engagements to supporting team all-hands and offsites. Flexibility and the ability to shift direction as priorities evolve are critical for success in this role.

Requirements

  • 5+ years of executive assistant, or 2+ years of Amazon experience
  • Knowledge of Microsoft Office products and applications
  • Experience with executive level calendar management
  • Experience coordinating across internal and external stakeholders, including customers, press, or executive-level audiences
  • 3+ years of experience directly supporting C-suite or VP-level executives, handling confidential information with discretion, and ability to complete complex tasks quickly with minimal guidance and react with appropriate urgency to time-sensitive situations

Responsibilities

  • Manage complex, multi-time zone calendars for two Directors, proactively resolving conflicts and optimizing time allocation across strategic priorities
  • Handle end-to-end domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries. Process expense reports accurately and in compliance with Amazon policies
  • Attend key leadership meetings, track action items, and drive completion of deliverables across teams. Prepare executives for meetings by gathering relevant materials, briefing documents, and background information
  • Work closely with Directors to provide real-time prioritization of business activities, exercising sound judgment and making autonomous decisions in ambiguous situations. Handle confidential information with the highest discretion
  • Build strong relationships with Executive Assistants, recruiting, and stakeholders across the broader organization, acting as a liaison for direct reports and helping the team navigate dependencies
  • Manage the end-to-end coordination of external engagements for the Head of TAA & EiR, including customer executive meetings, speaking engagements, analyst briefings, and press interviews. Prioritize and sequence incoming requests, coordinate with internal teams (PR, AR, Events, Customer Programs) and external stakeholders, and prepare executive briefs, talking points, and background materials
  • Plan and execute team events, offsites, all-hands meetings, and cross-team gatherings for teams of 50+ employees. Coordinate logistics for leadership summits, re:Invent activations, and team celebrations. Travel onsite to support events and external engagements as needed
  • Drive team communication cadence — coordinate all-hands agendas, distribute key updates, maintain team distribution lists, and support internal newsletters or announcements. Help foster team culture through recognition programs, milestone celebrations, and team-building initiatives
  • Support budget tracking and purchase order processing. Coordinate onboarding for new team members, including workspace setup and orientation scheduling. Draft correspondence, presentations, and communications on behalf of the executives
