About The Position

As an Executive / Administrative Assistant, you’ll be at the center of the action with The Werd Company’s dynamic and growing Audiovisual team in Austin, TX. As a successful Executive / Administrative Assistant, you have a strong work ethic, high attention to detail, and excellent critical thinking skills. You thrive in an ever-changing, dynamic environment and are exceptionally flexible, able to carry out a broad scope of responsibilities including schedule management, project planning for office needs, documentation of processes and helping to establish efficiencies across the team.

Requirements

  • Strong organizational skills to organize, prioritize and coordinate multiple work activities with the ability to meet deadlines.
  • Ability to manage projects and use initiative and judgment within established guidelines.
  • Can effectively and appropriately offer suggestions and improvements to processes and work across a range of personalities.
  • Proven experience operating within an EOS (Entrepreneurial Operating System) environment, including participating in Level 10 meetings and managing quarterly 'Rocks'
  • Actively leverages AI platforms as a daily collaborator to organize personal workflows, synthesize data, automate repetitive tasks, and maximize professional efficiency (Gemini, Chat GPT, etc).
  • Very strong technical competency, specifically with the Google Suite (Docs, Sheets, Gmail, Gcal.)
  • Is able to adopt new technologies and processes with ease.
  • Good to strong understanding of financial software (Quickbooks, etc), and financial processes.
  • Ability to effectively interface with, and provide supporting services for cross functional team members, vendors, and other groups inside and outside of The Werd Company, and vendors.
  • Strong oral and written communication with attention to detail.
  • Ability to communicate clearly and effectively with senior leaders and external partners.
  • Demonstrates experience in an administrative capacity in a small business environment ideally in the multimedia productions, or audiovisual integration/installation space.

Nice To Haves

  • Working knowledge of Asana or other project management tools is an added benefit.

Responsibilities

  • Work directly with the executive-level team to implement directives, and maintain organized environments.
  • Provide personal assistance to CEO as needed.
  • Monitor CEO’s email and create reports based on priorities.
  • Coordinate, take notes, and send recap of internal and external meetings including but not limited to team meetings, full staff meetings, all hands meetings, off-site meetings, one-on-one meetings, etc.
  • Manage day-to-day schedules in such a way that the executives are able to complete their obligations in an organized, efficient way.
  • Take into consideration calendar priorities based on project cycles, current workloads, compliance needs and changing environment.
  • Communicate with new contractors to ensure proper documents are filed, and accounts are properly activated.
  • Book flights, hotels, rental vehicles, etc for all employees as needed; maximizing benefits to company finances.
  • Intake, organize, and distribute or file physical mail.
  • Assist Office Manager and Administration in creating a positive working environment by utilizing decorations, spirit weeks and other interoffice events and activities.
  • Plan and manage office meals with guidance from Office Manager.
  • Stocking of snacks, beverages, and office supplies; notify Office Manager when supplies are low.
  • Perform other related duties as assigned.
