We’re seeking an Executive Administrator based out of our main office in Norway, ME, to provide high-level support to our President & CEO, Board of Directors and Senior Leadership Team. This highly visible role serves as a trusted resource and key point of contact across the Bank, working closely with senior leaders, team members, Board members, clients and external partners. The ideal candidate brings exceptional professionalism, discretion, attention to detail, and the ability to anticipate needs while managing multiple priorities with confidence.

  • Bachelor’s degree in related field or equivalent work experience.
  • 2-3 years assisting Executive management.

Responsibilities

  • Managing calendar appointments, correspondence, travel arrangements, presentations, and other executive-level administrative needs.
  • Handling sensitive and confidential information with the highest level of professionalism, discretion, and judgement.
  • Supporting members of the Senior Leadership Team through meeting coordination and scheduling, providing detailed minutes, and utilizing technology for hosting, recording meetings and storing documents.
  • Providing administrative support to the Board of Directors, including meeting coordination, catering arrangements, preparation and distribution of reports and materials, meeting minutes, and quarterly Board member reimbursements.
  • Maintaining accurate corporate records, reports, and documentation and completing annual corporate filings as needed.
  • Assisting the President and CEO with strategic planning documentation, initiatives, and special projects.
  • Preparing monthly reports and supporting administrative needs for various teams throughout the Bank.
  • Serving as an administrator for several Bank technology platforms including Diligent, Sharepoint – HUB intranet site, UPS CampusShip, and Coconut scheduling software.
