About The Position

The Executive Administrator is responsible for providing administrative support to executive leadership while helping ensure the efficient day-to-day operation of our Medina headquarters. This role plays a key part in executive administration, workplace safety, office operations, employee experience, and operational coordination activities that contribute to a productive and engaging work environment. The ideal candidate is highly organized, service-oriented, and adaptable, with a passion for supporting leaders, solving problems, and creating exceptional workplace experiences. This position collaborates closely with leadership, employees, vendors, and business partners to support business objectives and operational effectiveness. This is a full-time, on-site position based at our Medina, OH headquarters and reports to the VP of Talent and Technology.

Requirements

  • 5+ years of administrative, executive support, office management, or related experience.
  • Strong proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent communication, organizational, and problem-solving skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Customer-focused mindset with a commitment to supporting employees and visitors.
  • Ability to work independently while collaborating effectively across teams.
  • Notary Public certification, or a willingness to obtain Notary Public certification.
  • Ability to remain stationary for extended periods while working at a computer.
  • Occasionally lift and/or move up to 25 pounds.

Nice To Haves

  • Associate's degree in Business Administration, Communications, or a related field preferred.
  • Experience supporting executive leaders and coordinating office operations preferred.
  • Experience planning meetings, events, or employee engagement activities preferred.

Responsibilities

  • Provide administrative support to members of the Executive Leadership Team, including calendar management, meeting coordination, travel arrangements, and preparation of business materials.
  • Coordinate executive meetings, visitors, communications, and special projects while maintaining confidentiality and professionalism.
  • Coordinate travel and lodging arrangements for executive leadership, employees, and visitors as needed.
  • Assist with presentations, reports, and other materials that support business objectives and leadership initiatives.
  • Coordinate office safety initiatives, safety committee activities, inspections, and related communications.
  • Support emergency preparedness efforts and help maintain a safe, organized, and professional work environment.
  • Serve as a contact for facility maintenance, office vendors, and workplace services.
  • Support the daily operation of the Medina office, including management of office supplies, equipment, and administrative resources.
  • Maintain accurate records, documentation, and data within company systems to support reporting, compliance, and daily business operations.
  • Identify opportunities to improve workplace efficiency, organization, and overall office operations.
  • Help foster a welcoming environment that reflects Koroseal's values and culture.
  • Generate reports and support routine business activities as needed.
  • Assist with cross-functional projects and organizational initiatives.
  • Serve as backup support for the Office Coordinator as needed.
  • Other duties as assigned.
  • Support employee engagement activities, recognition programs, company events, and workplace initiatives.
  • Partner with internal teams and vendors to support meetings, celebrations, volunteer activities, and employee experiences.
