Responsibilities

  • Serves as secretary to the Associate Commissioner of the Office of Career and Technical Education (OCTE).
  • Serves as a part of the OCTE Leadership team and provides input as needed and requested in all areas.
  • Perform general administrative office duties such as ordering supplies, maintaining records management systems, and performing basic recordkeeping.
  • Answers phones and provide information to callers.
  • Keeps manuals current.
  • Drafts and types correspondence, memos, reports and documents.
  • Proofreads correspondence and reports for accuracy.
  • Manages Facility Usage and Medicaid Nurse Aide contract process for the area technology centers.
  • Prepares and posts contracts.
  • Schedules appointments, reservations and travel arrangements for the Associate Commissioner or office staff.
  • Manages and maintains supervisor’s schedule.
  • Greets internal and external customers and committee members on behalf of the department.
  • Schedule and prepare conference rooms for meetings.
  • Performs special projects upon request.
  • Prepares and restores rooms for meetings.
  • Opens, sorts, and distributes incoming correspondence, including faxes and email.
  • Prepares Department Purchase Requisitions (DPR), travel requests in state, all out of state requests, and pro-card payments for Associate Commissioner and other staff.
  • Attends OCTE leadership meetings and provides and distributes accurate minutes.
  • Follows up on action items to ensure completion.
  • Maintains the highest level of confidentiality.
  • Serves as point of contact for OCTE.
  • Interprets regulations according to well defined standards and apply rules to a variety of work situations.
  • Reviews operating practices and procedures to determine whether improvements are needed for administrative workflow.
  • Provides information and updates to the Associate Commissioner regarding OCTE news.
  • Performs other duties as assigned.
