As an Executive Administrative Assistant, you will provide advanced administrative support to multiple Vice Presidents and Director-level executives including the VP of Safety, VP of Manufacturing and Senior Director of Manufacturing Excellence. No two days look the same – you’ll coordinate projects, lead distribution of information, schedule and coordinate large workshops, meetings, and travel arrangements all in a given week. You’ll also find yourself supporting special projects, creating presentation materials, preparation of reports/spreadsheets, and providing administrative support to various committees.

Requirements

  • High School Diploma or equivalent
  • 5+ years’ professional experience in an Administrative Support role or equivalent, preferably within a corporate setting

Responsibilities

  • Perform advanced and diversified assignments of a confidential nature in support of executive leaders
  • Schedule meetings, maintain travel itineraries and prepare expense reports
  • May assist in reviewing budget and related expenses and assist with other special projects.
  • Serve as liaison between executives and subordinates, peers, superiors, and external contacts in person and by phone
  • Maintain organizational calendars and key milestone trackers
  • Maintain organizational charts, distribution lists, SharePoint, Teams sites, and communication channels
  • Publish meeting materials, standards, announcements, and newsletters
  • Manage contact directories and stakeholder communications
  • Maintain dashboards, scorecards, and KPI reporting packages
  • Coordinate procurement requests and follow-up on approvals
  • May assist in reviewing budget and related expenses and assist with other special projects.
