About The Position

The Executive Administration Assistant is responsible for performing complex administrative tasks to ensure the smooth operation of the executive office. This role involves coordinating executive calendars, drafting correspondence, managing communications, serving as a liaison, preparing meeting materials, taking minutes, assisting with special projects, compiling data, and maintaining a highly organized and confidential executive office environment. The position requires developing positive working relationships with colleagues, stakeholders, clients, and partners, and performing other duties as directed by management.

Requirements

  • Minimum age requirement for this position is 21 years old.
  • Requires a Bachelor’s Degree in Business Management or equivalent combination of education and experience.
  • Thorough understanding of computer programs, including all windows applications required.
  • Must have a valid driver’s license and be insurable by TRCR’s insurance company.
  • Must have demonstrated ability to work in a fast-paced, diverse environment where organization, prioritization and team work are required for success.
  • Must have the ability to prioritize tasks, manage deadlines and demonstrate the ability to adapt to changing priorities.
  • Ability to handle multiple tasks with accuracy and attention to detail.
  • Ability to communicate clearly and effectively in English, verbally, in writing or by other acceptable means.
  • Comply with pre-employment, random and reasonable suspicion alcohol and drug testing.
  • Receive and maintain a valid gaming license from the CTCLUSI Tribal Gaming Commission.

Nice To Haves

  • Two or more years of experience working as an Administrative Assistant preferred.

Responsibilities

  • Coordinates and monitors complex executive calendars, scheduling appointments, meetings and conferences.
  • Drafts, edits, and proofreads correspondence, memos, presentations and reports on behalf of executives.
  • Manages incoming communications, emails, phones calls, filtering and redirecting inquiries as necessary.
  • Serves as a liaison between executives and internal/external parties, ensuring timely and accurate communication.
  • Prepares and distributes meeting agendas, materials, and presentations in advance of executive meetings.
  • Attends meetings, taking comprehensive minutes and follows up on action items to ensure completion.
  • Assists executives with special projects, research assignments and initiatives as required.
  • Compiles data and prepares reports, summaries and analyses to support decision making.
  • Handles sensitive and confidential information with the utmost professionalism and discretion.
  • Maintains strict confidentiality in all interactions and communications.
  • Maintains a well-organized executive office, including filing systems, document management and supplies inventory.
  • Develops positive working relationships with colleagues, stakeholders, clients and partners.
  • Other duties as directed by management.
